Job Description:


 

How You'll Make an Impact:

Client Support & Relationship Management

  • Prepare, distribute, and track client agreements and electronic signatures.
  • Set up new client accounts and maintain accurate client records across company systems.
  • Assist clients with document requests, information gathering, and account updates.
  • Communicate important deadlines, reminders, and next steps through phone, email, and mail.
  • Coordinate the collection of client information and required documentation.
  • Schedule and support meetings, follow-ups, and ongoing client communications.
  • Respond to client questions and concerns in a timely, professional, and helpful manner.
  • Build strong working relationships with clients and internal team members.

Quality & Administrative Support

  • Review information for accuracy and completeness before processing.
  • Monitor the status of key client deliverables and follow up as needed.
  • Help resolve processing issues and coordinate solutions with internal teams.
  • Track important documents, correspondence, and client requests.
  • Maintain organized records and ensure documentation is handled according to company procedures.
  • Support compliance-related administrative processes and recordkeeping requirements.

Workflow Coordination & Project Tracking

  • Track projects, assignments, and deadlines to ensure work is completed on time.
  • Prepare and maintain status reports to help monitor team workload and progress.
  • Coordinate document distribution through both digital and traditional channels.
  • Monitor workflow queues and help keep projects moving efficiently.
  • Assist with document management, scanning, and electronic filing processes.
  • Identify opportunities to improve processes and enhance team efficiency.

Your Desired Experiences, Skills & Education

  • Associate degree or equivalent combination of education and professional experience.
  • Previous experience in administrative support, client service, project coordination, operations, legal support, financial services, or a related field preferred.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Strong written and verbal communication skills.
  • Ability to build positive relationships and provide excellent customer service.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Detail-oriented with a commitment to accuracy and quality.
  • Comfortable learning and using new technology and software systems.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong problem-solving skills and sound judgment.
  • Self-motivated, dependable, and eager to learn.
  • Positive attitude and ability to work effectively both independently and as part of a team.
