Job Summary
FS Builder Resources is seeking an organized and proactive Operations Coordinator to support production, scheduling, field operations, and customer service activities. This position helps coordinate the flow of work across multiple departments to ensure jobs remain on schedule, required materials and documentation are available, and operational issues are addressed promptly.
The Operations Coordinator will work closely with production, fabrication, field teams, order processing, purchasing, warehouse personnel, subcontractors, builders, warranty representatives, and customer service teams. The role includes coordinating schedules, tracking job progress, maintaining records, communicating changes, and supporting the daily needs of the operation.
This position is ideal for someone who is detail-oriented, comfortable managing multiple priorities, and able to communicate effectively with both internal and external stakeholders.

Essential Duties and Responsibilities
* Coordinate daily production, fabrication, measurement, delivery, and field-service schedules.
* Monitor production capacity, job priorities, deadlines, and workload requirements.
* Work with production, engineering, fabrication, warehouse, purchasing, field, and customer service teams to keep jobs on schedule.
* Review work orders, schedules, job information, and supporting documentation for accuracy and completeness.
* Track jobs throughout the operational process and communicate status updates to the appropriate teams.
* Identify scheduling conflicts, production delays, material shortages, incomplete information, and other operational concerns.
* Work with supervisors and department leaders to resolve issues that may affect production or customer commitments.
* Coordinate measurement and template appointments for new jobs.
* Schedule return trips, service appointments, and additional field visits when necessary.
* Communicate schedule changes, delays, and job requirements to internal teams, subcontractors, builders, and other stakeholders.
* Coordinate subcontractor scheduling and maintain required documentation.
* Assist with verifying subcontractor insurance, compliance documents, invoices, and payment information.
* Communicate with builders, customers, and warranty representatives regarding scheduling, job status, and operational concerns.
* Support the resolution of builder, warranty, installation, and service-related issues.
* Maintain accurate job notes, schedules, reports, records, and supporting documentation in company systems.
* Follow up with team members to ensure assigned tasks and job requirements are completed within established timelines.
* Prepare and distribute daily or weekly production and operations reports.
* Assist with monitoring operational performance, production volume, open jobs, and outstanding action items.
* Coordinate the ordering and maintenance of office supplies, equipment, and other operational materials as needed.
* Support invoicing, job-costing, payment documentation, permitting, or other administrative processes as assigned.
* Maintain confidentiality of customer, employee, subcontractor, pricing, and company information.
* Assist team members and other departments based on changing operational needs.
* Conduct all business professionally and ethically in a manner that supports customer satisfaction and company goodwill.
* Perform other duties as assigned based on business needs.

* Proficiency with Microsoft Office, email, spreadsheets, scheduling applications, and data-entry systems.
* Ability to learn company products, systems, production processes, and operational procedures.
* Self-motivated, dependable, flexible, and willing to assist with responsibilities outside the normal scope of the position when needed.

Education and Experience
* High school diploma or GED required.
* College coursework or a degree in business, operations, construction management, supply chain, administration, or a related field is preferred.
* Three or more years of experience in operations coordination, production scheduling, dispatching, project coordination, construction administration, or a related position preferred.
* Experience supporting manufacturing, fabrication, residential construction, builder services, field operations, or installation activities preferred.
* Experience coordinating subcontractors, vendors, production teams, or field personnel is preferred.
* Experience with scheduling, work-order management, job tracking, and customer communication is preferred.
* Experience in stone fabrication, countertops, flooring, building materials, or new-home construction is a plus.
* Experience with invoicing, job costing, permitting, subcontractor documentation, or payment processing is helpful.

* Ability to review information across multiple computer screens and software applications.

* Ability to occasionally stand, walk, bend, reach, and lift or move standard office materials.
* May be required to walk through warehouse, production, fabrication, or job-site environments.
* Must be able to work in a fast-paced environment with frequent interruptions and competing priorities.
