A Brief Overview
This role will serve as team project coordinator and support.  This role will also coordinate and support operations, strategic initiatives, communications, data and processes for Foundation team(s). This position reports to the senior leadership and serves as an integral part of the CHOP Foundation team.

The Development Coordinator – Donor Relations Operations supports the operational execution of donor acknowledgement, stewardship, and recognition programs on behalf of the Donor Relations team. This role manages key administrative workflows that ensure donors receive timely, accurate communications, including overseeing processes related to acknowledgments, stewardship reporting and recognition. The role also supports project coordination across the Donor Relations and Executive Partnerships teams. The position reports directly to the Senior Associate Director of Donor Relations.


What you will do

  • Essential Functions
  • Coordinate the development of deliverables in response to Department requests
  • Manage the organization, analysis, and maintenance of information related to incoming requests to the Department
  • Execute assignments and establish goals and deadlines to meet them
  • Manage specific aspects of projects or processes
  • Enter data, maintain records, and track progress toward the team's goals
  • Support quality control and data integrity efforts
  • Exercise judgment within generally-defined practices and policies by selecting methods and techniques to obtain solutions
     
  • Acknowledgements
  • Manage the pre- and post-work for Chief Executive Officer, President and Chief Development Officer acknowledgments and other correspondence using Foundation systems including DonorForce, Apsona, and Workfront
  • Provide administrative support for printing, mailing, and tracking in Foundation systems hard copy gift acknowledgments Essential Functions
  • Manage bounce backs from letters, emails and reports as well as coordinate updates with Prospect Research to ensure donor contact records remain current
  • Serve as back up to the Gift Administration team to manage the Donor Relations phone line
     
  • Executive Partnerships & Campaign Team Support
  • Support Executive Communications Strategist and Writer with administrative tasks related to developing materials (remarks and runs-of-show) for monthly All-Staff meetings and bi-annual Summits.
  • Provide operational support for priority Executive Partnerships and Campaign projects
     
  • Recognition
  • Assist with management of recognition lists and plaques to ensure accuracy and timely production
     
  • Administration
  • Create and manage project requests on behalf of Donor Relations Writers and the Communications Strategist/Executive Writer using Workfront
  • Organize and maintain printed and electronic reports developed by the Donor Relations team in the Foundation’s resources repository
  • Mass upload endowed reports, special events reports and other communications into the database of record (DonorForce)
  • Print and mail large print jobs on behalf of the Donor Relations team
  • Track and maintain the inventory of stewardship materials
  • Serve as back up to the Office Administrator of Foundation Operations on daily administrative tasks

Education Qualifications

  • Bachelor's Degree - Required

Experience Qualifications

  • At least one (1) year of business development, sales or fundraising related experience - Required
  • At least three (3) years of business development, sales or fundraising related experience - Preferred
  • At least one (1) year of donor relations, communications, marketing or journalism experience - Preferred

Skills and Abilities

  • Intermediate proficiency with office software (Microsoft) including email & calendar, word processing, spreadsheet and presentation software (Outlook, Word, Excel, PowerPoint)
  • Intermediate proficiency with customer relationship management software (Salesforce, Donorsforce, Raiser's Edge)
