The Philadelphia office of White and Williams LLP, a large multi-practice law firm, is seeking a Director of Facilities.  The Director of Facilities leads the firm's facilities and office services function across its nine office locations.  

The successful candidate will bring strategic judgment, hands-on operational leadership, and a service-oriented approach to supporting attorneys, staff, clients, and visitors. This role requires a leader who can manage complex projects, strengthen vendor and team performance, and build trusted relationships across a multi-office professional services environment. Key Responsibilities

Facilities Leadership and Workplace Strategy

•    Establish and lead the firmwide facilities and workplace strategy across all office locations.

•    Align facilities initiatives with firm priorities, growth plans, long-term space needs, and the evolving workplace experience.

•    Serve as a strategic partner to firm leadership on office footprint, utilization, workplace standards, and operational effectiveness.

Real Estate and Capital Projects

•    Oversee the firm’s real estate and workplace portfolio, including relocations, expansions, renovations, lease administration, and related capital projects.

•    Lead firmwide facilities projects from planning through execution, including space design, buildouts, workplace standards, and project communications.

•    Collaborate with brokers, landlords, architects, contractors, and internal stakeholders to deliver projects on time, within budget, and consistent with firm priorities.

Vendor, Contract, and Service Strategy

•    Develop and manage the firmwide vendor strategy for facilities, office services, equipment, hospitality, and related operational support.

•    Lead negotiations for major contracts, service agreements, equipment providers, and lease-related services.

•    Evaluate vendor performance, service quality, cost efficiency, and opportunities for continuous improvement.

Operations and Service Delivery

•    Oversee day-to-day facilities operations across all offices, ensuring consistency, reliability, responsiveness, and high service standards.

•    Provide leadership oversight for core office services functions, including mailroom, records, conflicts, hospitality, workplace support, and related operational services.

•    Refine service delivery models, workflows, and standards to support evolving firm needs and improve the user experience.

Team Leadership and Development

•    Lead, support, and develop the facilities and office services team across the firm’s office locations.

•    Establish clear roles, performance expectations, accountability measures, and service standards.

•    Foster a collaborative, professional, and service-oriented culture that supports attorneys, staff, clients, and visitors.

Financial Management and Planning

•    Develop and manage facilities, real estate, operating, and capital budgets.

•    Partner with firm leadership on long-term financial planning related to space, leases, projects, and workplace investments.

•    Identify and implement opportunities to improve value, control costs, and support sustainable operational performance.

Firmwide Collaboration

•    Build strong working relationships with attorneys, administrative leadership, practice groups, and office leaders across all locations.

•    Collaborate with Information Services, Accounting, Human Resources, Marketing, and other departments on firmwide initiatives.

•    Contribute to projects that enhance workplace experience, operational performance, business continuity, and organizational effectiveness.

Qualifications

•    Ten or more years of progressive experience in facilities, office services, real estate operations, or operational leadership.

•    Demonstrated success managing multi-location operations, complex vendor relationships, and significant facilities or workplace projects.

•    Strong knowledge of real estate, leasing, capital projects, workplace services, and office operations.

•    Proven ability to manage budgets, negotiate contracts, lead cross-functional projects, and deliver operational improvements.

•    Excellent communication, judgment, leadership, and relationship-building skills.

Preferred Qualifications

•    Experience in a law firm, professional services firm, or similarly complex client-service environment.

•    Experience leading workplace strategy, space planning, office relocations, buildouts, or major renovation projects.

•    Experience supporting senior leadership in long-term planning, budgeting, and operational decision-making.

This position is based in Philadelphia, PA, with periodic travel to other White and Williams LLP office locations.
