Job Description

PRIMARY FUNCTION

While exercising excellent customer service skills, responsible for answering multiple service lines for the Thomas Jefferson University and Jefferson Health Facilities and Custodial service lines for all enterprise locations, generating work order requests, providing work order status, obtaining schedule information, and assign/dispatch them to the appropriate personnel according to the standard procedure for the specific location.

                                                                         

ESSENTIAL FUNCTIONS:

  • Generates work orders for phoned in, electronically submitted, faxed and written work requests. Work order creation may include dispatching the work request to the appropriate technician via radio and/or work order scheduling. 
  • Ensure work orders are being created using standardized coding for all locations and following standard Work Order Process Map.
  • Provides status information about existing work requests to callers. If necessary, works with the appropriate administrative staff to achieve problem resolution.
  • Communicate with all Enterprise Facilities Management employees and departments in regard to specific location needs. 
  • Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
  • Ensure communication is active among all dispatchers and backup staff regarding scheduling and/standard process changes.
  • Rescheduling, correction, transferring of work orders based on information given by operational staff.
  • Monitor web based CMMS dashboards regarding missing billing information.  Work with requestor to obtain correct information and/or fill in information based on company policy.
  • Perform minor data entry as needed and time allows that is assigned by manager. 
  • Assist manager in maintaining scheduling documentation from information provided by operational staff. 

EDUCATIONAL/TRAINING REQUIREMENTS:

High School Diploma or GED

CMMS experience preferred, but not required.

Service Line Dispatcher for multiple locations experience preferred, but not required.

Customer Service experience preferred, but not required.
