Position Title: Legal Assistant III

Reports to: Operations Manager

Location: Philadelphia, PA

Work Schedule: Full-Time, Monday – Friday, 8:30am – 5:00pm

FLSA Status: Non-Exempt 


Position Summary: Aldevra is currently seeking a qualified Legal Assistant III to support the United States Attorney's Office Eastern District of Pennsylvania in Philadelphia, PA. We are looking for someone who brings a positive attitude, strong attention to detail, clear communication, and a willingness to jump in where needed. This position is contingent upon contract award.


DUTIES AND RESPONSIBILITIES

The essential functions include, but are not limited to the following:

  • Review and prepare a variety of legal documents, such as Grand Jury subpoenas
  • Provide assistance to attorneys in trial preparation by assembling trial exhibit binders, compiling witness lists and making witness travel arrangements
  • Use online legal resources and verify citations
  • Maintain an automated case tracking system
  • Provide reminders for various commitments and court appearances
  • Prepare travel authorizations and vouchers.
  • Electronic court filings using ECF/PACER
  • Assist in performing legal research in support utilizing a variety of automated legal research tools such as Courtlink, as well as public information databases and or program-specific legal matters such as other courts, and provide assistance in assigned areas of criminal or civil proceedings, e.g. preparation of Grand Jury Indictment packages
  • Assist with pretrial and trial by preparing, reviewing, and organizing case file information and trial binders as well as arranging for scheduling witnesses and court reporters
  • Preparing internal authorizations for requesting goods/services such as deposition transcripts
  • Frequent interaction with other agencies and other internal personnel
  • Maintain calendar of active court matters such as tracking filings, hearings and trial dates, and scheduling conferences, interviews, and other deadlines for AUSAs
  • Arrange travel by preparing itinerary and securing transportation and hotel reservations
  • Assemble exhibits, affidavits, and other legal documents. Assembling and organizing files and records material for disposition or transfer to records depositor
  • All other duties as assigned.

Requirements

Security Requirements:

  • Must be able to maintain government issued badge.

This position requires passing an extensive background check.


Mental and Physical Requirements:

This position is based in an office environment, primarily involving computer work, meetings, and collaboration with team members.

  • Ability to read, understand, interpret, and accurately process legal documents, including subpoenas, indictments, affidavits, court filings, and other legal materials.
  • Strong attention to detail and accuracy, particularly when reviewing citations, case information, deadlines, names, dates, and legal documents.
  • Ability to organize and prioritize multiple cases, assignments, deadlines, and competing demands simultaneously.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive legal and case-related information.
  • Ability to sit and work at a computer for extended periods, including reviewing electronic case files, conducting legal research, preparing documents, and completing electronic filings.
  • Ability to use a computer keyboard, mouse, telephone, scanner, printer, and other standard office equipment frequently throughout the workday.
  • Ability to frequently handle, sort, organize, and file paper documents, case records, exhibits, and trial materials.
  • Ability to lift, carry, and move boxes, binders, case files, records, and office materials, potentially weighing up to approximately 25–30 pounds.
  • Ability to stand and walk periodically to retrieve files, deliver documents, access office equipment, attend meetings, or coordinate courtroom/trial materials.
  • Ability to reach, bend, stoop, and occasionally lift or carry materials when organizing files, records, exhibits, or storage areas.
  • Ability to assemble and organize large trial binders and exhibit materials, which may require repetitive hand and arm movements.


Qualifications:

  • Must have a Bachelor’s degree in criminal justice or a closely related field 
  • Must have 2+ years of experience working in the criminal justice field
  • Must have knowledge of the processes, procedures, and practices of legal support activities
  • Must have knowledge of office skills and an ability to apply these skills to increase the effectiveness of the assigned AUSAs
  • Knowledge of document/exhibit organization, interaction with witnesses and investigative agents will be expected
  • Valid Real-ID state-issued driver's license
  • Excellent verbal communication skills and telephone manner
  • Excellent and accurate written communication
  • Familiarity with Windows operating systems; online calendars and cloud systems; intermediate to advanced skills Microsoft office products required
  • Excellent attention to detail; accurate data entry
  • Customer Focused and team-oriented work ethic
  • Able to multi-task efficiently and accurately, focusing on quality
