Position Summary


The Chamber of Commerce for Greater Philadelphia is seeking a highly organized project and traffic manager to bring structure, flow, and accountability to marketing work across both the Chamber and the newly formed Greater Philadelphia Growth Partnership. Reporting to the VP of Marketing, this role serves as the operational backbone of the marketing team, owning project intake, routing, and delivery from brief to publication, and ensuring work moves efficiently between internal teams and external agency partners.

 

Essential Duties & Responsibilities


Project & Traffic Management

  • Own end-to-end marketing project intake, briefing, routing, and delivery across the Chamber and the newly formedGreater Philadelphia GrowthPartnership.
  • Work with the marketing team to build, maintain, and manage all marketing projects in Asana, including timelines, task assignments, dependencies, and status tracking.
  • Serve as the primary traffic controller, ensuring work moves efficiently between internal teams and external agency partners.
  • Facilitate and run the weekly marketing team meeting, including agenda setting, status updates, and follow-through on action items (working with Marketing VP).
  • Maintain an annual overview of all marketing-related events, ensuring visibilityintokey dates, deliverables, and production timelines across the full calendar year.

Workflow & Systems

  • Lead the transition from Cayzu to Asana as the department's unified project management and request intake system. 
  • Administer and optimize Asana including templates, automations, and reporting dashboards. (some of this already done by Orbital Socket)
  • Develop and enforce intake processes so marketing requests are scoped, prioritized, and assigned before work begins.
  • Maintain a real-time marketing calendar that reflects all active campaigns, deliverables, and deadlines across both platforms.

Cross-Functional Coordination

  • Serve as the connective tissue between the marketing department, internal stakeholders (programs, membership, events, communications), and external agency partners as it relates to project delivery.
  • Coordinate asset delivery, approvals, and feedback loops to keep projects on schedule.
  • Flag capacity conflicts and resource constraints early and escalate as needed to the VP/Director of Marketing.

Quality & Accountability

  • Ensure all deliverables meet quality standards before going to review or publication.
  • Track and report on on-time delivery rates, project cycle times, and request volume.
  • Maintain organized file and asset management protocols including naming conventions, version control, and shared folders.

Process Improvement

  • Continuously evaluate and improve workflow processes to reduce bottlenecks and redundant handoffs.
  • Document SOPs for recurring project typesincludingevent marketing, content production, and campaigns.
  • Onboard new team members and partners to project management tools and processes.

Job Specifications & Requirements


Required

  • Bachelor’s degree in business, workforce development, public administration, or a related field; equivalent professional experience will also be considered.
  • 5+years of experience in project management, cross-functional engagement, strategy, consulting, or related field.
  • Demonstrated ability to build relationships and communicate effectively with cross-sector stakeholders, and senior leaders.
  • Strong facilitation, communication, and presentation skills with the ability to translate complex information into practical action.
  • Experience managing cross-functional initiatives, projects, or stakeholder-driven projects in collaborative and matrixed environments.
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • History of navigating ambiguity, taking an entrepreneurial approach,anddemonstratingimpactbuilding something new.
  • Demonstrated ability to move between strategic thinking and practical execution.
  • Proficiency with Microsoft 365 and related productivity and collaboration tools, including artificial intelligence tools to support efficiency and productivity.

Preferred

  • Project Management Professional (PMP) certification or equivalent experience
  • Experience working in or with the Greater Philadelphia region and understanding of its economic and workforce landscape.
  • Experience facilitating employee meetings, working groups, or teams.
  • Comfort working with marketing technology (Asana, Cayzu, MarketingCloud), dashboards,or performance metrics.
  • Experience operating in highly collaborative, cross-sector, or public-private partnership environments.

Work Conditions 

The Chamber operates in a hybrid work environment that allows for a flexible schedule while requiring employees to work in-person at least two days per week. Exceptions to this schedule may be made based on departmental needs. When on-site, work is performed in a professional, deadline-driven office setting with regular interaction with Chamber colleagues, members, and investors.

This role involves extended periods of sitting at a desk, working on a computer, and speaking on the phone. Chamber colleagues are sometimes required to attend Chamber-hosted or partner events and meetings outside of regular business hours and outside of Center City Philadelphia. 

Compensation 

The salary range for this position is $60,000 - $75,000 annually, plus the opportunity to earn additional performance-based incentives.
