The Position

Friedman Vartolo LLP is seeking a Receptionist/Office Assistant to join our rapidly growing team and work out of our Philadelphia location.

The Receptionist/Office Assistant will function as the primary administrative employee at the office. This role will assist with answering a high-volume of incoming calls and greeting visitors where necessary. This employee will monitor office supplies and kitchen staples (ex. milk, seltzer, etc.) and order where appropriate. While the bulk of our mail is handled by our Garden City office, this employee will intake, scan and review incoming mail and will assist in processing a limited number of outgoing items. The ideal candidate will have excellent communication skills (both verbal and written), is able to remain calm and collected when handling escalated calls, is super organized, has outstanding computer skills and works well under pressure.


Responsibilities

  • Answer high-volume phone calls, take detailed messages and distribute to the appropriate party
  • Send e-faxes and distribute incoming faxes
  • Greet and direct visitors entering the Firm
  • Maintain kitchen support in making coffee and restocking food and drinks
  • Accept all incoming packages and mail; physically scan and sort incoming mail
  • Manage Mail Process (Collateral log/audit) & forward to Garden City office
  • Support digital mail sorting, building management and vendor needs and issues
  • Provide support for all miscellaneous requests with a 'can do' attitude
  • Provide administrative support as needed

Qualifications

  • 1-2 years of experience in a receptionist/office assistant role or similar
  • Computer Savvy a must
  • Strong verbal and written communication skills
  • Able to multi-task
  • Superb organizational skills
  • Calm and professional demeanor

Compensation/Benefits

Salary will be commensurate with an entry/junior level position. The firm offers a competitive benefits package including medical, dental, vision, flex spending, 401k and gym/fitness membership reimbursement.
