About the Role:

The Front Desk & Administrative Support position plays a key role in maintaining a professional, organized, and welcoming environment for all staff, visitors, and external partners. This role manages high‑volume phone communication, greets and directs visitors, and ensures the reception area reflects the organization’s standards. The position also supports daily operations by scheduling conference rooms, processing and distributing incoming mail and deliveries, and assisting internal departments with documentation, coordination, and general office tasks. With additional responsibilities assigned as needed, this role contributes to the smooth, efficient functioning of the workplace and serves as a central point of support across the organization.

Responsibilities:

  • Direct all incoming phone calls, providing accurate general information and routing inquiries to the appropriate staff.
  • Greet visitors and employees in a friendly, professional manner and promptly notify relevant staff of arrivals.
  • Maintain a clean, organized, and welcoming reception area to support a positive first impression.
  • Schedule and manage conference room reservations to ensure efficient use of shared spaces.
  • Receive, date‑stamp, sort, and distribute incoming mail and deliveries to designated recipients.
  • Offer assistance to internal departments, supporting documentation, coordination, and general office needs.
  • Perform additional duties as assigned to support overall business operations and ensure a smooth, efficient workplace.

Position Requirements:

  • Education: High school diploma/GED
  • License/Certification: N/A
  • Relevant Work Experience: No experience in a corporate reception environment required, but a minimum of 1 year of work experience preferred

Philadelphia Residency Requirement:

  • The successful candidate must be a current Philadelphia resident or become a resident within six months of hire.
