The Production Office Associate provides administrative and operational support to the Production Department in a fast-paced food manufacturing environment. This position is responsible for closing completed batch tickets, preparing and printing production and packaging labels, maintaining production records, and supporting the daily administrative needs of the plant. This position works closely with Production, Quality Control, Warehouse, Maintenance, and Management to help ensure that daily operations run efficiently and that required documentation is completed in accordance with company procedures and food safety requirements.

The ideal candidate is highly organized, detail-oriented, comfortable working in a manufacturing environment, and able to prioritize multiple tasks while maintaining accuracy.

Essential Job and Duties

Production Documentation

- Review completed batch tickets and production paperwork for accuracy and completeness.

- Close batch tickets in the company's production/inventory system once required information has been verified.

- Verify production quantities, lot numbers, dates, yields, material usage, and other required production information.

- Assist with investigating discrepancies in production documentation and inventory records.

- Maintain organized production records and documentation.

Label Printing and Control

- Print product, case, pallet, ingredient, and other production-related labels as required.

- Ensure correct product names, lot codes, dates, quantities, and other required information are reflected on labels.

- Maintain appropriate control of printed labels to prevent mix-ups or unintended use.

- Conduct weekly label inventory counts

Daily Plant Support

- Monitor daily production paperwork and identify outstanding documentation.

- Assist with preparing daily production schedules, reports, and paperwork.

- Support communication between the production personnel and plant floor.

- Help ensure production personnel have the paperwork, labels, supplies and documentation needed to perform their assigned work.

Inventory and Production System Support

- Assist with production-related inventory transactions and documentation.

- Review material usage and production quantities for accuracy.

- Assist with identifying discrepancies between physical production activity and system records.

- Work with Warehouse and Production personnel to resolve documentation or transaction issues.

- Assist with entering completed production information into ERP/MRP or other company systems.

Qualifications

- High school diploma or equivalent required.

- Previous experience in food manufacturing, manufacturing administration, production, warehouse administration, or a related environment preferred.

- Previous experience with production documentation, batch records, inventory systems, or labeling is a plus.

- Strong attention to detail and accuracy.

- Good organizational and time-management skills.

- Ability to handle multiple priorities in a fast-paced environment.

- Basic to intermediate Microsoft Office skills, particularly Microsoft Excel.

- Ability to learn and effectively use ERP, production management, inventory, and labeling systems.

- Strong written and verbal communication skills.

- Ability to work effectively with employees at all levels of the organization.

- Ability to occasionally lift or move office supplies, paperwork, labels, or other materials weighing up to approximately 50 pounds.

Work Environment

- This position is primarily based in the production office but requires regular interaction with the production floor, warehouse, quality control, and other plant departments. The position operates in a fast-paced environment where priorities may change throughout the day based on production requirements.
