Summary The Administrative & Logistics Coordinator plays a key role in supporting the organization's operational effectiveness through the coordination of office administration and logistics activities. This position manages daily administrative functions, including document and records management, office services, supply administration, vendor communications, and employee support, while also overseeing purchasing, procurement, inventory management, and shipping and receiving processes. Through effective coordination of administrative and operational activities, the role helps maintain an organized, efficient, and well-supported work environment. Major Duties and Responsibilities Oversee reception services, mail distribution, and overall shipping/receiving logistics. Manage incoming phone, email, and general inquiries, routing them to the appropriate team members efficiently. Greeting visitors professionally and ensure meeting rooms are prepared for scheduled sessions. Manage office upkeep, facilities maintenance, and company inventory tracking. Maintain digital and physical filing systems to ensure fast, reliable record retrieval. Synthesize data from emails, meeting minutes, and company documents to produce concise written summaries. Source equipment and manage procurement needs. Assist HR with onboarding logistics, including equipment distribution and personnel record updates. Resolve office-related inquiries and coordinate repairs for office equipment. Execute additional administrative duties and special projects as assigned. Education High school diploma or higher 2+ years of experience in an office GA or administrative role. Skills and Qualifications Advanced written and verbal communication skills. Competent interpersonal and customer service skills focused on prompt, effective support. Intermediate in Microsoft Office Suite and standard business productivity software. Strong organizational, time-management, and multitasking abilities with high attention to detail in high-volume settings. Demonstrated ability to accurately transcribe messages and capture vital information over the phone or in person. Foundational understanding of administrative operations, recordkeeping systems, and physical/digital filing. Take initiative and be able to work independently with minimal supervision Willingness to provide after-hours support to monitor, troubleshoot, and resolve critical operational issues if, or when required. Advanced notification will be given. Resourceful Equipped with a valid driver's license for inter-site travel and routine errands. Physical Requirements Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 50 pounds at times.
