Job Description
As an Estimating Coordinator, you will be responsible for supporting and coordinating the proposal and bidding process to ensure efficiency, accuracy, and alignment with company standards. This role serves as a key liaison between estimators, clients, and internal departments. You will continuously review proposal processes and project coordination procedures to improve effectiveness and streamline operations. This is an essential administrative and analytical role requiring construction knowledge, attention to detail, and strong organizational skills.
Responsibilities
1. Proposal Preparation and Coordination:
- Prepare outgoing proposals by typing proposals from estimators, sending to clients, and logging outgoing proposals.
- Perform high-level “reasonability” checks on proposals to verify scope meets specifications.
- Verify inclusion of taxes, bond costs, travel, per diem, and other required components.
- Qualify bids by conducting high-level verification of quantities, square footages, and related details.
- Assist in change order processing.
- Continuously review proposal processes, procedures, and capabilities to improve efficiency and effectiveness
- Monitor the Arizona Procurement Portal for bid opportunities, with a focus on Department of Military Affairs (DMA) projects.
- Assist with crane permit applications and related coordination activities.
2. Bid Management and Screening:
- Receive incoming bid requests via phone and email.
- Screen calls and emails using established criteria to assess appropriate project fit for the company.
- Communicate and collaborate with appropriate estimators.
- Categorize requests for accurate tracking and documentation.
- Constantly review addendums for changes that affect roofing scope.
- Track projects that require OCIP, CCIP, or BLIP enrollment.
- Follow up on and maintain Certificates of Enrollment for applicable projects.
- Keep records of project assignments and whether work is completed by Production or Service teams.
3. Maintenance Renewals and Reporting:
- Manage monthly general maintenance renewals by running reports in Foundation to identify properties coming up for renewal.
- Communicate with Property Managers/Owners to verify access information.
- Review building and project history to assess labor needs and relevant notes.
- Share compiled information with appropriate estimators for action.
4. Project Setup and Documentation:
- Log incoming awarded projects.
- Set up job files and deliver files to appropriate departments (service and/or production) for processing.
- Set up projects in Sales Force with appropriate information as needed.
- Assist in the prequalification process.
5. Administrative and Operational Support:
- Answer phone calls and assist with general inquiries.
- Create leak request work orders during high-volume periods (e.g., rain storms).
- Perform other duties as requested.
- Maintain organized insurance and project documentation for reporting and compliance purposes.
- Provide administrative support to estimating, production, and service teams by maintaining project records and tracking required documentation.
6. Additional Responsibilities:
- Handle additional responsibilities and projects, as assigned.
Requirements
- Construction process knowledge (2 years preferred).
- Experience in the construction process is mandatory.
- Experience in roofing is preferred.
- Strong attention to detail.
- Organized and systematic approach to work.
- Fluent ability to operate various computer and phone applications.
- Effective communication and teamwork skills.
- Team player attitude is a must.
