Position Overview

The Inter-Department Workflow Coordinator plays a critical role in ensuring that customer requests, plan updates, takeoffs, bids, submittals, and project tasks move smoothly through each department. This person will act as the central communication hub—monitoring deadlines, preventing bottlenecks, and ensuring nothing falls through the cracks.

This is a high-visibility, fast-paced role ideal for someone who thrives on organization, communication, and accountability.

Key Responsibilities

Daily Coordination

  • Attend a morning briefing with leadership to review workload, priorities, and deadlines.
  • Manage the flow of tasks across departments and follow up throughout the day.
  • Provide an end-of-day status update summarizing progress, issues, and next steps.

Plan Management & Takeoff Support

  • Ensure new plans and revisions are received, uploaded, and properly labeled or re-numbered.
  • Track takeoff timelines based on bid due dates.
  • Manage ASIs, RFIs, and change-order-related plan updates through the Takeoff → Estimating → Pre-Con/PM pipeline.

Estimating Support

  • Follow up with Estimating on bid status and deadlines.
  • Gather missing information or answers needed for bid completion.
  • Help ensure quality and timeliness of bid submissions.

Pre-Construction Support

  • Track Submittals, Comp Sheets, Cut Sheets, and review deadlines.
  • Follow up on fixture sample orders and confirm delivery or next steps.
  • Coordinate Pre-Con outputs so they reach customers on schedule.

Project Management Support

  • Track open items with Project Managers and ensure they are fully closed out.
  • Identify roadblocks and help route items through other departments for resolution.
  • Monitor hot items with vendors (payments, lead times, ship dates).
