We are seeking a Project Coordinator who will play a pivotal role in ensuring the successful execution and completion of construction projects by providing comprehensive administrative and operational support. This position involves coordinating project activities, managing schedules, and facilitating communication among stakeholders to maintain project momentum and meet established deadlines. The Project Coordinator will oversee the preparation and maintenance of project documentation, including change orders and project plans, ensuring accuracy and compliance with company standards. By effectively utilizing project management software and tools, the coordinator will track progress, identify potential risks, and assist in resolving issues to keep projects on track. Ultimately, this role is essential in supporting project managers and teams to deliver high-quality construction projects within scope, time, and budget constraints.

MINIMUM REQUIREMENTS:

  • Bachelor’s degree in Construction Management, Business Administration, or a related field.
  • Proven experience in project coordination or project administration within the construction industry.
  • Proficiency in Microsoft Project and other project management software tools.
  • Strong organizational skills with the ability to manage multiple tasks and meet deadlines consistently.
  • Excellent communication skills, both written and verbal, to effectively liaise with diverse project stakeholders.

REQUIRED SKILLS:

  • Certification in Project Management (PMP, CAPM, or equivalent).
  • Experience with change order management and contract administration.
  • Familiarity with construction industry standards, safety regulations, and compliance requirements.
  • Advanced skills in Microsoft Office Suite, including Excel for data analysis and reporting.
  • Previous experience working on large-scale or complex construction projects.

Responsibilities:

  • Accurately collaborate and provide relevant project information to the appropriate project team members. Communicate project information to Field Team, PM, and General Contractor’s Team as appropriate.
  • Take direction from executives, managers, with little instruction or communication.
  • Organize, disseminate, collect, and manage all project documents from start to completion. This starts with collecting specific information, logging it into our systems, saving documents, processing paperwork, and meeting compliance standards throughout the project.
  • Maintain document control of all project documents including but not limited to: All Contracts, Project Information, Insurance, Submittals and Log, RFIs and Log, Change Orders and Log, Construction Drawings, Spec Books, Soils Reports, Site Logistic Plans, Testing Reports, Schedules, QC Reports, Safety Plans, JHAS, Warranties, and Closeout Documents.
  • Monitor and ensure compliance of all project requirements. Including but not limited to current master contract in place, appropriate licenses for all subcontractors, as well as insurance (including OPIC/CCIP enrollment, including our tiered subcontractors, dust control permits as required, and any other requirements that our subs need to meet in order to be following all our master agreement requirements.
  • Responsible for reviewing and understanding insurance requirements, obtaining insurance certificates as it pertains to general contractor and subcontractor requirements and confirming requirements are satisfied. This includes having all subcontract COIs checked by insurance broker to confirm their compliance. As well as confirming with the GC administrator to confirm all subs and sub-subs are properly enrolled and insured on the project.
  • Obtain, track, and maintain all required purchase orders, subcontractor documents from subcontractors including Master Subcontractor Agreements, certificates of insurances, licenses, permits and safety plans, warranties, and all other necessary documents.
    • Release and track materials and equipment related to executed purchase orders compared to project schedule. 
  • Assist project managers and estimating team in issuing Change Order Requests and input Change Orders into accounting system software program. Populate all templates with GC information as it pertains to each project. It is the responsibility of the PC to close all outstanding change order requests with the assistance of the Sr. PM, PM and Estimator as needed. Continually review and strive to ensure prompt processing of all change orders.
  • Assist project managers as necessary to accurately complete all RFIs. Populate all templates with GC information as it pertains to each project. Maintain RFI log, distribute RFI responses to appropriate team members and subcontractors timely for review.
  • Provide accurate status tracking for Project Submittals, RFIs, LEED information and other reports. This includes checking with the GC if submittals have not been returned in a timely manner.
  • Accurately and promptly provide all necessary documents to Accounting Department and provide support as needed, including but not limited to billing or change order information, lien release information or other that Accounting might need.
  • Assist foreman, superintendents, project managers, and other team members in all aspects throughout the project. Set up each project with Blue Beam Review. Ensure all applicable documents are uploaded into the specific files as it applies.
  • Support the organization with administrative needs and special projects as directed.
  • Provide general support and back-up for Assistant Project Manager and other Project Coordinators.
  • Completes all special project billings independently. Carefully reviews each request to make sure to describe completed work accurately, attach needed quote/PO/other documents and submit them to the correct personnel.
