Position Overview:
The Senior Loan Processor serves as the operational quarterback for every loan assigned. This role is responsible for proactively managing a pipeline from application through funding while delivering exceptional service to borrowers, Realtors, Loan Officers, and internal business partners. The Senior Loan Processor identifies and resolves issues before they become obstacles, ensures regulatory compliance, drives on-time closings, and contributes to continuous operational improvement. This role mentors team members, helps develop best practices, and plays a key role in building scalable processes that support the growth of the Potempa Team.

Job Responsibilities:

  • Manage a high-volume pipeline of conventional, FHA, VA, USDA, and Jumbo mortgage loans.
  • Review loan applications and support documentation for completeness, accuracy, and compliance with investor and agency guidelines.
  • Analyze income, assets, credit, liabilities, and collateral documentation to identify potential qualification issues prior to underwriting.
  • Collect and review required documentation from borrowers, employers, title companies, insurance agents, and third-party vendors.
  • Anticipate potential underwriting or closing issues early and recommend solutions to minimize impact on the transaction.
  • Submit complete and accurate loan files to underwriting and proactively address underwriting conditions.
  • Communicate proactively with borrowers, Loan Officers, Realtors, processors, underwriters, title companies, and leadership regarding loan status and next steps.
  • Ensure all regulatory disclosures and documentation comply with federal, state, agency, and investor requirements.
  • Review appraisals, title commitments, insurance, and other third-party reports for acceptability.
  • Coordinate with underwriting, closing, and funding teams to meet contractual closing deadlines.
  • Conduct proactive daily pipeline reviews to identify files at risk of missing contractual or operational milestones.
  • Resolve complex loan scenarios involving self-employed borrowers, variable income, multiple properties, trusts, and layered financing.
  • Perform quality control reviews to minimize post-closing defects and underwriting resubmissions.
  • Maintain detailed, accurate, and actionable loan notes that clearly document file status, conversations, and next steps.
  • Stay current on agency guideline updates, investor overlays, and regulatory changes.
  • Provide exceptional customer service while maintaining frequent communication throughout the loan process.
  • Identify opportunities to improve operational workflows, efficiency, and the overall client experience.
  • Assist in onboarding, mentoring, and developing Loan Assistants, Junior Processors, and other Operations team members.
  • Support management with training, pipeline management, and process improvement initiatives.
  • Escalate high risk or time-sensitive issues promptly while providing recommended solutions.

Qualifications and Skills:

  • High School Diploma or equivalent.
  • 5+ years of residential mortgage loan processing experience, including complex loan scenarios.
  • Encompass experience, preferred.
  • Advanced knowledge of Conventional, FHA, VA, USDA, and Jumbo mortgage products.
  • Advanced knowledge of RESPA regulations and all mortgage and consumer lending regulations, including but not limited to Regulation Z and Regulation B requirements, and loan documents.
  • Excellent math and analytical skills.
  • Excellent communication skills.
