We are seeking a highly organized and proactive Administrative Specialist (Executive Operations) to support the Executive Assistant (EA) to the Chief Product Officer (CPO). This role is responsible for driving day-to-day administrative execution, coordinating logistics, and ensuring alignment with executive priorities to enable seamless operations in a fast-paced environment.

This position reports to the Chief Product Officer (CPO) and has a dotted-line reporting relationship to the Executive Assistant to the CPO, who provides day-to-day direction, workflow prioritization, and operational guidance to ensure alignment and execution.

Key Responsibilities

  • Provide administrative and operational support in partnership with the EA to the CPO, ensuring alignment with executive priorities
  • Manage complex calendars, scheduling, and meeting logistics with a high degree of accuracy
  • Coordinate domestic and international travel, including detailed itineraries and logistics
  • Prepare and process expense reports accurately and in a timely manner
  • Support execution of leadership meetings, team activities, and on-site events
  • Draft, format, and maintain presentations, reports, and executive-level documents
  • Serve as a coordination point across teams to ensure alignment on administrative and operational activities
  • Handle ad hoc requests with a proactive, solutions-oriented approach
  • Maintain organized systems, documentation, and standardized processes to improve efficiency
  • Handle sensitive and confidential information with discretion and professionalism

 

Qualifications

  • Bachelor’s degree
  • 3+ years of administrative or operations experience, preferably supporting executives or senior leadership
  • Experience working in partnership with an Executive Assistant or within a team-based support model
  • Strong proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)
  • Experience managing complex travel and expense reporting
  • Familiarity with SAP or similar systems is a plus
  • Excellent written and verbal communication skills
  • Strong organizational and prioritization skills with high attention to detail
  • Ability to manage multiple priorities in a fast-paced environment
  • Strong interpersonal skills with a service-oriented, collaborative mindset
  • Proven ability to handle confidential information with discretion
