Job Overview

Marketech International Corporation USA is seeking a detail-oriented and customer-focused Project Support Coordinator to support warehouse, logistics, materials coordination, and project administration activities for client projects.

This role is responsible for coordinating order processing, shipment tracking, material updates, supplier communication, contractor coordination, and documentation through the company’s customized materials management system. The Project Support Coordinator serves as a key liaison between internal teams, suppliers, client representatives, contractors, and warehouse personnel to help ensure materials are ordered, tracked, delivered, and communicated accurately throughout the project lifecycle.

The ideal candidate has strong coordination, customer service, and stakeholder-management skills, along with excellent written and verbal English communication abilities. This individual must be organized, adaptable, emotionally intelligent, and able to manage unexpected issues with professionalism, patience, and sound judgment in a fast-paced logistics and project-support environment.

Key Responsibilities

Order Processing & Materials Coordination

  • Coordinate order processing, shipment tracking, material updates, and inventory-related activities using the company’s materials management system.
  • Monitor material status from order placement through shipment, delivery, receipt, and project handoff.
  • Verify order details, quantities, delivery requirements, supplier information, and supporting documentation for accuracy.
  • Maintain accurate records of purchase orders, shipment information, delivery updates, material status, and project-related documentation.
  • Assist with inventory updates, material movement tracking, and warehouse coordination to support efficient project execution.
  • Support the timely flow of materials to project locations, client sites, contractors, and internal operations teams.
  • Identify missing information, delayed shipments, order discrepancies, damaged materials, or delivery concerns and coordinate appropriate follow-up.

Supplier, Contractor & Client Coordination

  • Communicate with suppliers, contractors, client representatives, warehouse teams, and internal stakeholders to confirm order details, shipping timelines, and delivery status.
  • Serve as a primary point of contact for material-related inquiries and provide clear, accurate, and timely updates.
  • Coordinate logistics schedules to support on-time deliveries and reduce potential disruptions to project work.
  • Follow up with vendors and suppliers regarding open orders, shipment delays, backorders, delivery changes, and documentation needs.
  • Support communication between client contractors and internal teams to ensure material requirements and delivery expectations are aligned.
  • Build and maintain productive working relationships with internal and external stakeholders through responsive, professional, and solution-oriented communication.
  • Escalate urgent delivery issues, material shortages, supplier concerns, and project-impacting risks to the appropriate team members.

Project Support & Administrative Documentation

  • Prepare, organize, and maintain project support documentation, including purchase orders, shipment records, delivery confirmations, tracking reports, inventory updates, and status reports.
  • Assist with administrative coordination for warehouse and logistics activities, including meeting notes, action-item tracking, and stakeholder follow-up.
  • Support project managers and operations teams by providing timely material-status information and logistics updates.
  • Help maintain accurate reporting within the materials management system and ensure updates are entered promptly.
  • Track open tasks, outstanding materials, delivery commitments, and follow-up items to support accountability and project schedule adherence.
  • Assist with process improvements related to order tracking, shipment communication, documentation accuracy, and materials coordination workflows.

Customer Service & Issue Resolution

  • Respond to stakeholder inquiries with professionalism, patience, clarity, and tact.
  • Anticipate potential order, delivery, inventory, or communication issues and take proactive steps to identify practical solutions.
  • Remain calm and service-oriented when managing unexpected situations, changing priorities, time-sensitive requests, or challenging stakeholder interactions.
  • Use strong emotional intelligence and sound judgment to navigate communication with suppliers, contractors, clients, and internal teams.
  • Support a collaborative, team-first environment focused on service quality, accountability, and project success.

Required Qualifications

  • Bachelor’s degree or equivalent combination of relevant work experience, education, and training.
  • Strong written and verbal English communication skills.
  • Previous experience in customer service, account coordination, project support, logistics support, warehouse coordination, administrative support, or a related role.
  • Strong interpersonal skills with a high level of emotional intelligence, professionalism, and stakeholder awareness.
  • Excellent organizational skills with the ability to manage multiple tasks, follow-ups, updates, and deadlines simultaneously.
  • Strong attention to detail and ability to maintain accurate records, tracking information, and documentation.
  • Ability to remain calm, patient, and solution-oriented in a fast-paced environment.
  • Ability to work independently while coordinating effectively with cross-functional teams.
  • Proficiency with Microsoft Office, including Excel, Outlook, Teams, and Word.
  • Service-oriented mindset with the ability to communicate clearly and maintain positive working relationships.

Preferred Qualifications

  • Bilingual proficiency in English and Mandarin Chinese.
  • Experience supporting warehouse operations, logistics, supplier coordination, shipping, receiving, inventory tracking, or materials management.
  • Familiarity with enterprise resource planning systems, materials management systems, inventory systems, or ERP platforms.
  • Experience supporting semiconductor, construction, industrial, manufacturing, cleanroom, or high-tech facility projects.
  • Experience working with client contractors, vendors, suppliers, or project teams in a customer-facing coordination role.
  • Familiarity with purchase orders, shipment records, delivery schedules, inventory reports, and project documentation.
  • Experience working in a fast-paced environment with competing priorities and time-sensitive material requirements.

Work Environment

This role may involve a combination of office-based project support, warehouse coordination, logistics communication, and client-project support.
