Position Overview

The Supply Chain Coordinator performs day-to-day warehouse and inventory activities, including receiving, inspecting, stocking, and fulfilling internal supply requisitions. This position also supports the Supply Chain Buyer and leadership with purchasing activities, vendor coordination, order tracking, and maintaining accurate inventory and procurement records to help ensure supplies are available to support The Blood Connection’s operations.

Essential Functions

Warehouse and Inventory Operations

  • Receives incoming supplies and verifies shipments against packing slips for accuracy, in accordance with established segregation-of-duties requirements.
  • Inspects incoming items for damage or other discrepancies and assists with returns or credits in accordance with established procedures.
  • Records received inventory in Envi in accordance with established procedures and segregation of duties requirements.
  • Labels received goods for QA quarantine, moves items to the designated quarantine location, and notifies Quality Assurance of receipt.
  • Stocks and organizes warehouse inventory, utilizing FIFO procedures for supplies with expiration dates.
  • Fulfills internal requisitions through Envi and scans inventory upon removal for delivery.
  • Prepares par carts for interdepartmental supply needs.
  • Maintains an orderly, clean, and safe warehouse environment.
  • Follows established inventory control, safety, and quality procedures.

Purchasing and Vendor Support:

  • Assists the Supply Chain Buyer and leadership with sourcing products and obtaining supplier quotes, pricing, availability, and lead-time information.
  • Assists with the preparation and placement of purchase orders as directed by the Supply Chain Buyer or leadership and in accordance with established purchasing procedures, approval requirements, and internal controls.
  • Communicates with suppliers regarding order status, shipment dates, backorders, and delivery issues.
  • Expedites orders as directed to support timely receipt of supplies.
  • Assists with vendor returns, credits, substitutions, and other order-related issues.
  • Maintains approved supplier information and assists with tracking vendor performance in accordance with established procedures.
  • Researches alternative products and suppliers as requested by the Supply Chain Buyer.
  • Provides inventory, usage, pricing, and supplier information to support purchasing decisions.

Records, Reporting, and Supply Chain Support:

  • Maintains accurate purchasing, receiving, inventory, and supplier records.
  • Prepares routine reports related to inventory levels, purchasing activity, supplier performance, and costs.
  • Reviews inventory and purchasing data to identify discrepancies, trends, or potential supply needs and communicates findings to the Supply Chain Buyer and leadership.
  • Assists with researching cost-saving opportunities and alternative sourcing options.
  • Supports efforts to address product shortages, backorders, supply disruptions, and other supply chain issues.
  • Performs other supply chain and warehouse duties as assigned.

Minimum Qualifications

  • Associate’s degree in business, supply chain management, or a related field is preferred (experience in lieu of degree is acceptable)
  • 5+ years of experience in purchasing, procurement, warehouse operations, inventory management, or a related supply chain role preferred
  • Knowledge of blood banking and/or clinical laboratory supply and material requirements is helpful but not required 
  • Proficiency in procurement and purchasing processes
  • Basic knowledge of purchasing and procurement processes
  • Working knowledge of Enterprise Resource Planning (ERP) systems (e.g., ENVI, SAP, Oracle, NetSuite)
  • Data analysis and reporting skills (including advanced Excel skills)
  • Familiarity with supply chain management principles and practices
  • Excellent communication and interpersonal skills
  • Strong analytical and problem-solving abilities
  • Ability to work independently and as part of a team
  • Attention to detail and strong organizational skills
  • Adaptability and a proactive approach to continuous improvement

Additional Qualifications

  • Valid Driver’s License with no major infractions and dependable transportation
  • Understands and follows written and verbal instructions
  • Able to follow SOP in a heavily FDA regulated environment
  • Ability to communicate effectively, tactfully, and courteously to patrons, donors, sponsors, and co-workers
  • Ability to work at all levels and in a diverse work environment 
  • Ability to establish and maintain effective working relationships with staff, management, and peers
