Scope of Job:

Acts in an administrative support role for one or more Registered Representatives. Works in CRM programs, including tracking sales activity, referrals, and results. Responds to customer requests and provides requested information or required actions. Provides operational support including preparing reports, client reviews and paperwork for client meetings with guidance. Performs various office administrative support duties, including handling mail, answering phones, filing, and word processing. Operates office equipment and refills supplies as needed. Performs other duties including ordering supplies. Typically reports to a supervisor or manager. Works on projects/matters of limited complexity in a support role. Work is closely managed.

 

Primary Duties:

Maintain and update CRM System (Redtail) for client and prospect contact. Maintain filling system in Redtail including all customer documents. Perform maintenance functions on Redtail: Including but not limited to address changes, closing accounts, opening accounts, adding contacts, closing contacts, notes, assigning tasks, follow-up with customer contacts.

Prepare all necessary documents for client meetings; including statements, account details regarding transactions, account maintenance forms.

Open and close accounts; including completing customer information on Client Central and Redtail systems, obtain account number by opening account on appropriate system, scan and submit paperwork to SalesForce, mail funds, blotter funds, submit to checks and securities folder, add to pipeline, assign tasks for anniversaries, thank you notes, investment transfer log, add to tag groups and keywords.

Follow through on research requests and resolve problematic issues with assistance. Accurately open and close accounts. Proactively follow up on account openings, ACH requests, distribution requests, beneficiary changes, depositing of checks, account transfers and any other daily account transactions.

Prepare and send out all mailings and faxes. Including quarterly performance reports and newsletter, birthday cards and gifts, and holiday items.

Act as back up for Advisor phone calls, responding accurately, friendly, promptly and enthusiastically to all customer inquiries and requests.

Process FinCEN check. Process all SF Account Supervision inquiries from Woodbury.

Create and maintain procedures within CRM System (Redtail).

 

Secondary Duties:

Work as a team with departmental counterparts on planning and implementing assigned projects and products.

Participate on various committees and project teams as deemed appropriate by management.

Attend, actively participate in organization, job specific training offered, and Quality Service programs.

Adhere to all applicable Policies and Procedures of BankWest organization.

Community involvement is strongly encouraged.

Other duties as assigned.

 

Requirements

Education:

A Bachelor's Degree in a related field.

Applicable experience and/or related certifications may be considered in lieu of degree.

Paraplanner designation preferred.

 

Experience:

1 years' experience in related field.

 

Knowledge and Special Skills:

Knowledge of the brokerage industry.

Ability to work dependently and/or independently, under pressure, meet deadlines, and adjust work schedules as needed to complete job responsibilities.

Ability to organize and handle multiple responsibilities while delivering quality external and/or internal Customer Service.

Strong interpersonal skills to ensure effective communication with external and/or internal customers.

Knowledge or ability to learn regulatory requirements pertinent to performance of specified duties in job description.

Ability to skillfully use a variety of application software, learn computer programs, and comprehend the program output.

Adhere to Federal Privacy Standards in addition to following BankWest requirements for electronic communication and Social Engineering standards.
