Position Overview

The Executive Assistant supports the CEO and select members of the executive leadership team at Mainspring Recovery. This role is responsible for managing sensitive information, supporting executive operations, and helping ensure leadership priorities move forward efficiently and thoughtfully.

This position requires a high level of trust, discretion, and sound judgment. The Executive Assistant will have visibility into confidential matters and must be comfortable operating quietly, reliably, and with professionalism.

Scope of Support

This role provides direct support to:

  • Chief Executive Officer
  • Select executive leaders across Operations, Finance, Clinical, Compliance, and Growth functions, as assigned

Support needs may change based on organizational priorities.

Key Responsibilities

  • Manage calendars, scheduling, and priorities for the CEO and designated executive leaders
  • Coordinate meetings, prepare materials, and track follow-up items
  • Serve as a point of contact between executive leadership and internal teams or external partners
  • Support executive projects, reports, and presentations
  • Help maintain organization and follow-through on executive initiatives
  • Draft and manage executive correspondence as needed
  • Coordinate travel and logistics for executive leadership
  • Maintain organized and secure records for executive documents
  • Handle confidential and sensitive information with discretion
  • Assist with preparation for leadership meetings, board-related activities, and planning sessions
  • Complete other duties as assigned in support of executive leadership

Qualifications

Education & Experience

  • Minimum of three (3) years supporting senior or executive leadership
  • Experience handling confidential information required
  • Experience supporting multiple leaders preferred
  • Healthcare or regulated-industry experience a plus

Skills & Abilities

  • Strong organization and time-management skills
  • Clear written and verbal communication
  • Good judgment and ability to prioritize competing requests
  • Comfortable working independently
  • Professional, calm, and dependable
  • Proficiency with standard office and scheduling tools

Physical Requirements

  • Ability to sit and work at a computer for extended periods
  • Ability to occasionally lift up to 15 pounds
  • Ability to travel occasionally

Work Environment

  • Occasional evenings, holiday or extended hours may be required
  • Frequent exposure to confidential leadership information
