Graduate Admission Counselor or Assistant Director of Graduate Admissions

The Graduate Admissions Counselor is a professional, detail oriented and highly service-oriented professional who is responsible for growing enrollment for highly competitive graduate programs offered by Chatham University. This position handles all recruitment activities for assigned degree programs encompassing yearly planning, admission application reading and management, working with prospective students, collaborating with faculty, and building relationships with potential partner institutions.

The Assistant Director of Graduate Admissions serves as a strategic enrollment leader responsible for advancing institutional graduate enrollment goals through data-informed recruitment planning, high-touch applicant engagement, and cross-campus collaboration. In this elevated role, the Assistant Director partners closely with the Director of Graduate Admissions to design, implement, and assess comprehensive recruitment and yield strategies for highly competitive graduate programs, ensuring alignment with institutional priorities and market demand. The position exercises leadership in application review, interview coordination, and applicant advising while overseeing complex recruitment initiatives, including on- and off-campus events, partnership development with articulation institutions, and targeted outreach to employers and professional networks. The Assistant Director plays a key role in monitoring enrollment pipelines, preparing recruitment and enrollment reports, and contributing to continuous improvement efforts through collaboration with academic program directors, marketing, and financial aid. Through these responsibilities, the Assistant Director upholds high standards of service, professionalism, and accountability while driving enrollment growth and strengthening the university’s graduate recruitment infrastructure.

Both positions offer the opportunity to work a hybrid schedule, with both remote and in-person work on a weekly basis.

Duties and Responsibilities:

  • Assists the Director of Graduate Admission in developing and managing yearly recruitment plan to increase program awareness, inquiry and enrollment.
  • Provide advising and support through the admissions process for prospective students including information gathering, application review, overseeing the interview process, and all ongoing follow-up up via phone, e-mail and in-person visits.
  • Reads applications and manages pre-requisite and application requirements for assigned academic programs.
  • Plans and execute on- and off-campus recruitment events, virtual and in-person interview days, and travel to feeder schools, employers and essential conferences and events for enrollment, networking, and visibility purposes.
  • Prepare and present professional information sessions regarding graduate programs both on and off campus and in virtual environments.
  • Work with the university marketing department to contribute to the various communication materials needed to promote the degree programs and various programs/services offered by Chatham.
  • Recruit students interested in designated programs delivered in an on-ground format.
  • Assists the Graduate Director of Admission in making regular reports concerning status of recruitment and the current enrollment of students across assigned programs.
  • Conduct Admission and Financial Aid presentations with input and guidance from Office of Financial Aid.
  • Prepare and present professional information sessions regarding academic programs virtually, on campus and in the community.
  • Assists the Director of Graduate Admission with developing and implementing strategies for designated program applicants to optimize yield from admit to deposit and matriculation.
  • Develop and maintain positive relationships with articulation school partners in order to ensure informed student engagement from the partner network.
  • Assists the Director of Graduate Admission by working with graduate academic Program Directors to coordinate and promote graduate policies, procedures, and ensure enrollment goals are met.
  • Assists the Graduate Director of Admission in the planning and execution of yield-related events and programming
  • Uphold the highest standards for a nationally accredited, competitive program.
  • This position requires daytime and some overnight travel as well as some night and weekend work throughout the year.

Qualifications:

  • Proven results-driven approach to sales, recruitment, and/or admissions
  • Strong written and oral communication skills, as well as excellent skills in marketing, emerging technology and media
  • Bachelor’s degree, master’s degree preferred
  • Experience with graduate populations preferred
  • Experience managing applications through a CAS system preferred
  • Slate experience preferred
  • Must have valid driver’s license.

EXPERIENCE: Required skills include proficiency in Microsoft Word and Excel, ability to quickly learn and utilize proprietary educational software, exemplary written and verbal communication skills, basic math ability, and excellent problem-solving skills. Individual should have strong interpersonal skills with the ability to help people feel at ease. Must function comfortably in a team structure and be able to work independently and speak before large and small groups with confidence.

Other notes about the position:

Successful candidates will possess strong verbal and written communication skills, along with time management, project management, public speaking skills, and a proven background in sales. Extremely strong organizational skills, along with the interpersonal skills necessary to communicate with diverse constituencies in a fast-paced environment are important to be successful in this position. Knowledge and experience working in Slate CRM a plus. Creative, energetic team players that have the capability to work independently, efficiently, and effectively are highly desired. The successful candidate will have the proven ability to meet enrollment / sales goals, attention to detail, follow-through, and dependability.

PHYSICAL REQUIREMENTS: 

Requirements are within the general range of an office environment. Daytime and some overnight travel is required throughout the year. Some evening and weekend assignments are necessary.
