 Purpose of Position:

Del Monte Foods (DMC Foods Inc.), the Foods Division of Fresh Del Monte, is seeking a highly organized, proactive, and trusted Office Manager/Executive Assistant to support the Vice President of Supply Chain & Logistics while also serving as Facilities Coordinator for our Pittsburgh headquarters. This individual will operate as a strategic partner, exercising discretion and judgment with respect to matters, ensuring the VP can operate at full capacity while maintaining a high-performing, well-run workplace environment.

This role blends executive support, operational coordination, and facilities management, requiring the exercise of discretion and judgment in making decisions to support business operations, vendor relationships, and workplace management. The position requires advanced organizational skills, specialized knowledge of executive operations, and the ability to analyze and resolve complex administrative or facilities matters.

Responsibilities:

1.  Executive Enablement & Strategic Support

  • Exercise discretion and judgment in managing complex calendars, priorities, and scheduling to maximize executive effectiveness and align with organizational objectives
  • Develop and coordinate materials for leadership meetings, business reviews, and executive presentations, analyzing information and making recommendations where possible.
  • Act as a strategic gatekeeper and facilitator, exercising independent judgment to prioritize competing demands and make decisions to support the business.
  • Plan and coordinate complex travel arrangements, logistics, and itineraries, making decisions regarding scheduling, cost optimization, and operational support efficiency
  • Serve as a key liaison between the VP and internal/external stakeholders, managing sensitive communications and making decisions regarding prioritization and appropriate responses
  • Exercises discretion to support operational expenditures within assigned budget limits; Determines priorities and resource allocation for facilities and executive support functions; Influences operational direction within department and across supported functions.
  • Exercises discretion on operational changes or process improvements within facilities and administrative scope; Affects external partners, vendors, and service providers

 2. Operational Leadership & Cross-Functional Coordination

  • Lead and drive follow-ups on key strategic initiatives, independently monitoring progress, identifying obstacles, and taking corrective action to ensure deadlines and deliverables are met
  • Plan, coordinate, and facilitate supply chain leadership meetings, including developing agendas, documenting key decisions, and independently tracking and driving action item completion
  • Independently analyze operational data and prepare reports, dashboards, and communications, making recommendations to leadership on process improvements and support efficiencies
  • Lead cross-functional coordination activities across supply chain, logistics, and corporate teams, exercising discretion to resolve conflicts that affect multiple departments
  • Exercise independent judgment to assess, prioritize, and structure fast-moving operational support demands.

3. Facilities Management & Administration (HQ – Pittsburgh)

  • Manage and oversee all day-to-day operations of the headquarters facility, exercising reasonable discretion to ensure a safe, efficient, and professional work environment.
  • Independently manage vendor relationships and service contracts for maintenance, cleaning, security, and other facility services, including negotiating terms, evaluating performance, and making recommendations on vendor selection and retention
  • Develop and implement office space planning strategies, seating arrangements, and workplace experience initiatives, analyzing operational needs and making reasonable discretion that affect employee productivity and satisfaction
  • Lead response efforts for facility-related issues and emergencies, exercising reasonable judgment to assess situations, allocate resources, and implement solutions to minimize operational disruption
  • Plan and manage company events, meetings, and on-site experiences, including budgeting, vendor coordination, and logistics, exercising discretion to ensure alignment with organizational standards and objectives.

4. Culture, Employee Engagement & Organizational Support

  • Develop and implement initiatives to foster a high-performance, team-first culture within the headquarters, exercising reasonable discretion to identify opportunities and make recommendations that enhance employee engagement
  • Plan and execute leadership engagement activities, team events or similar activities.
  • Serve as a strategic connector across teams, independently identifying communication gaps and implementing solutions to reinforce collaboration and information flow throughout the organization
  • Develop and maintain standards for a welcoming and professional environment for employees and visitors, exercising discretion to ensure consistent representation of organizational values and brand

Requirements:


  • Minimum 5 years of progressively responsible experience supporting C-suite or VP-level executives, preferably in operations, supply chain, or corporate environments
  • Demonstrated ability to exercise discretion and independent judgment in complex organizational settings with exceptional organizational, analytical, and problem-solving skills
  • High level of professionalism and ability to handle confidential information
  • Proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and collaboration tools
  • Ability to manage multiple priorities with attention to detail and follow-through.
