Overview
Under the direct supervision of the Director of Operations, this position provides support to the Corporate Office. Communication and excellent organizational skills are required. Understand and comply with all company and departmental rules and regulations, policies and procedures.
The Office Administrator will also provide exemplary service in a manner consistent with the values and mission of the Castle Group. He or she performs all responsibilities while demonstrating outstanding customer service skills representative of Castle Royal Service as it relates to this function. This includes working interdepartmentally, as well as, with our external customers.
Responsibilities
- Support maintaining and updating company directories regularly, ensuring accuracy and accessibility.• Oversee the office maintenance, repairs, and modifications. Manage relationships with cleaning services and vendors to ensure a safe and efficient work environment.• Manage office equipment, including copiers, fax machines, and postage machines, and/or oversee mobile phone accounts (T-Mobile, Nextel, Verizon) by handling orders, replacements, upgrades, and billing reviews.• Manage and maintain inventory for building supplies, janitorial items, office supplies, kitchen essentials, and paper products. Place orders for business cards, and other company materials.• Maintain inventory and distribution of company shirts and name badges for employees.• Organize and protect confidential files, documents, and records.• Coordinate company events and/or executive meetings.• Ensure adherence to safety protocols, fostering a secure and compliant work environment.• Perform all tasks focusing on exceptional customer service, adhering to the company’s Royal Service standards.• Perform additional tasks as assigned, ensuring confidentiality and professionalism.• Manage uniform, plaque, and business card requests from the field team.• Review and evaluate vendors to ensure quality service and efficient processes for home office teammates.• Respond to and resolve after-hours building issues in a timely and professional manner.• Prepare reports related to shipping and handling, UPS services, and monthly credit card reconciliation.• Review current processes and procedures to identify areas of improved efficiency.
Qualifications
- High school diploma required• Minimum of 3 years of related experience serving as an administrative assistant or similar position.• Extensive knowledge of office administration, clerical procedures, and vendor management.• Valid Driver’s License required.
