Position Overview:
As an Executive Administrative Assistant supporting senior Supply Chain leadership, you will provide high-level administrative and operational support to executive team members while helping ensure the efficient execution of key business activities. You will manage complex schedules, coordinate travel and meetings, prepare communications and presentations, and serve as a trusted point of contact for internal and external stakeholders. You will also support special projects, document control activities, and cross-functional coordination to help drive organizational effectiveness. This role offers the opportunity to work closely with senior leaders and contribute to the success of a global supply chain organization.
Key Responsibilities:
• Provide administrative support to senior Supply Chain leaders, ensuring smooth execution of daily business activities and priorities.
• Manage complex executive calendars, including meeting prioritization, scheduling, time management, and coordination with internal and external stakeholders.
• Prepare and coordinate presentations, reports, correspondence, and meeting materials for executive, employee, and external meetings.
• Coordinate domestic and international travel arrangements, including detailed itineraries, flight scheduling, passport management, and visa documentation as required.
• Organize and support on-site and off-site meetings, conference calls, business events, luncheons, and dinners.
• Serve as a professional point of contact for internal and external stakeholders, handling sensitive and confidential information with discretion.

• Manage special projects and administrative initiatives while exercising sound judgment and working independently.
• Develop familiarity with departmental functions and organizational processes to communicate information accurately and effectively.
• Welcome visitors and assist callers, directing inquiries appropriately and maintaining a professional experience.
• Support document control and records retention activities for the department.
• Prepare and maintain organizational charts and administrative documentation.
• Provide administrative coverage and support for the Vice Presidents of Sourcing/NPI and SIOP/MP&L as needed.

Qualifications:
• High school diploma required; college degree preferred.
• Minimum 1 year of experience in an administrative or similar professional office environment.
• Advanced proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.
• Experience using business tools and platforms such as Visio, Miro, and Concur.
• Strong organizational, planning, and time-management skills.
• Excellent written and verbal communication skills.
• Demonstrated ability to handle confidential and sensitive information with professionalism and discretion.
• Ability to work independently and manage multiple priorities effectively.
• Ability to work a regular schedule of 8:00 a.m. to 5:00 p.m., with overtime and weekend work as needed.
• This position is not eligible for sponsorship.

The starting pay range for Minnesota is $25.00 to $34.00 per hour, plus eligibility for overtime.  Individual pay and positioning within the range are determined through a wide variety of factors including but not limited to education, experience, knowledge, skills, and geography.  While individual pay could fall anywhere in the range based on these factors, it is not common to start at the high end or top of the range.
