Job Title: Document Management Specialist (PDDM Support)
Schedule: Full-Time, Onsite (Not a Remote Position)

Position Overview:

We are seeking a Document Management Specialist to join our Project Document & Data Management (PDDM) team. This position operates under general supervision and plays a key role in supporting routine document control and data management activities within a collaborative team environment. The successful candidate will provide both technical and administrative support across various PDDM workfaces including, but not limited to, In-House Engineering, Supplier Data, Work Packages, Contracts, Reporting, and Client Original Documentation.

The ideal candidate is detail-oriented, adaptable, and comfortable handling multiple priorities in a fast-paced environment. Strong verbal and written communication skills are essential, as this role interfaces with clients, engineering subcontractors, internal teams, and field personnel.

Key Responsibilities:

  • Perform document management activities such as scanning, renaming, filing, and revision control of both hard-copy and electronic documents.
  • Assist in receiving, logging, and filing documents in accordance with project-specific requirements and timelines.
  • Maintain and update project databases and document management systems.
  • Prepare and issue transmittals, reproduction orders, and notifications to internal and external stakeholders.
  • Ensure accuracy and compliance with document formatting, issue status, and revision protocols.
  • Collaborate with coworkers and project team members to ensure deadlines are met and client expectations are achieved.
  • Depending on team lead discretion, may be authorized to release documents independently without additional quality checks.

Required Skills & Qualifications:

  • Multi-tasking ability with strong organizational and time management skills.
  • Proven experience in prioritizing tasks under minimal supervision.
  • Available to work full-time during standard business hours 
  • Strong verbal and written communication skills.
  • Team player with a proactive, self-starter attitude.
  • High standards for accuracy, efficiency, and speed in task execution.
  • Demonstrated analytical capabilities and problem-solving skills.
  • Experience using Data Management Systems.
  • Prior experience in an Engineering Services Provider or related industry.

Preferred Experience:

  • Familiarity with two or more PDDM disciplines (e.g., Engineering, Supplier Data, Contracts, Work Packages, Reporting).
  • Experience with commonly used document control platforms and tools.
