Department Overview

This position provides administrative support for the statewide perinatal simulation program within the Oregon Perinatal Collaborative (OPC). This includes coordination of all logistics of obstetric and newborn simulations in all Oregon hospitals that are facilitated by OPC Simulation Program Manager-RNs. This position will also support design and monitoring of evaluation metrics for the program and will provide recommendations for optimizing program as needed. This position will serve as a primary point of coordination contact for all hospitals and will also support quality improvement coaching in coordination with OPC Simulation Program-RNs and the OPC Director for Quality Improvement. This position will coordinate between the OPC Simulation Program and OPC¿s other projects. Strong interpersonal skills are necessary for success in this role. This position will also support budget tracking and purchasing of program related materials.

Function/Duties of Position

  • Provide logistic support for scheduling, travel and evaluation of all simulations and related meetings/ training.
    • Create and maintain all tools to manage complex scheduling of OPC simulations with hospital leaders.
    • Organize all travel arrangements and process corresponding reimbursement requests in a timely fashion.
    • Create and monitors evaluation tools.
  • Provide logistic support for program development, including document creation
    • Process expense invoices, reconciliations, and reimbursements associated with OPC simulation program.
    • Support development and refinement of internal and external facing documents for OPC Simulation Program.
    • Maintain accurate records, reports and data for the program and develop multiple formats to best meet the needs of key audiences.
  • Serve as primary logistic point of contact for hospitals and provide quality improvement coaching as needed.
    • Ensure responsive service to all Oregon hospitals seeking OPC simulation support.
    • Provide quality improvement coaching to teams between simulation sessions as needed to support OPC simulation RNs with non-clinical coaching support to hospital teams. This can include coaching on key QI tools used by the Institute for Healthcare Improvement (PDSA cycles, run charts, etc) and supporting basic data interpretation.
  • Support program evaluation, monitor and address budget needs.
    • Monitor key timelines and deliverables and escalates any barriers to meeting these to supervisor.
    • Assist with budget tracking and purchasing within established budget and limits.
    • Identify opportunities for program improvement, including streamlined processes and workflows to improve value and efficiency.
    • Support development of program evaluation reports and summaries for key funders and stakeholders.
  • Manage simulation equipment inventory and address needs as they arise.
    • Work collaboratively with Program Manager-RNs to ensure all equipment is available for all sessions and support replacement/ repair when needed.

  • Required Qualifications

    • Bachelors degree and two years leading projects

      OR Associates degree and three years leading projects

      OR Equivalent combination of education, training and experience.

    • At least 3 years of administrative support experience supporting a team of 10 or more.
    • Microsoft office suite proficiency

    • Project management

    • Complex scheduling
