Job DetailsJob Location: Lab - Portland, OR 97222Summary Responsible for the routing of processed jobs into and out of production under the supervision of the Front Office Supervisor in coordination with the Lab Manager. Primary areas of responsibility include Frame to Come, Tracing, Shipping, and Tinting stations. Coordinate work with front office and back lab staff to ensure excellent customer service to patients. Supervisory Responsibilities This position does not have supervisory responsibility but will assist with orientation and training of other practice employees. Primary Duties and Responsibilities Receive frames to come (FTC) from the clinics and match them up to trays in the lab. Receive frames direct from select vendors, match them up to trays in the lab, and place invoices in clinic shipping bins. Trace all frames. Verify the patient’s name on the FTC tag matches the name on the work ticket in the tray. Verify the frame in the tray matches the frame description on the work ticket in the tray. Carefully handle incoming frames, removing lenses appropriately according to frame type, maintaining the integrity and cosmetics of each frame. Verify the edge type and frame material of the frame is correct on the work order. Reprints: (after frames have been traced) Attach tracings to each job Reprint work orders and stamp with date traced Move trays to the appropriate lab department for production Shipping Station: monitor shipping station throughout the day. Scan trays, match up invoices, and place completed jobs in shipping bins. Breakdown the trays for future use. Prep bins for pick up by courier at the end of each day. Manage the FTC station: Keep neat and orderly Sort through all trays regularly to ensure trays are in the correct area Investigate all late jobs in FTC regularly: check for duplicates and cancellations, contact clinics to request late frames, escalate to front office when additional follow up is needed. Watch Microsoft teams for communication with opticians who have questions or direction regarding frames to come. Communicate promptly in a clear and polite manner. Manage the Tinting station Clean all lenses needing tints Move all tint jobs through the tinting station daily whenever possible. When not, prioritize appropriately according to date and services needed. Maintain and clean tint pots. Change tint in pots every week. Order new tints as needed in coordination with Lab manager. Communicate any issues or delays with front office staff. Route carefully to the appropriate station once lenses are tinted. Keep all work areas clean and orderly. Ensure equipment and machinery is in good working condition; immediately report equipment malfunction. Adhere to all safety standards as established by company policy and OSHA requirements. Wear all required Personal Protective Equipment (PPE) and be trained in the proper use and storage of PPE. Perform work in compliance with company policy and department procedures. Secondary Functions Other duties as assigned. Support back lab as needed in areas such as wash up and de-boxing. Support front office as needed in areas such as answering phones, pulling lenses, and light order processing. QualificationsEducation and/or Experience; Certificates, Licenses, and Registrations (Minimum Requirements) High school diploma or equivalent preferred. Necessary Knowledge, Skills and Abilities Must be able to switch between different tasks throughout the day and manage time efficiently. Must be able to coordinate this with coworker and Front Office Supervisor. Must be computer literate. Must possess basic math skills. Highly organized and self-motivated Strong interpersonal skills Ability to work cooperatively and always interact in a professional and respectful manner. Ability to communicate clearly and concisely, orally and in writing. Physical Demands / Work Environment Majority of work is performed adjacent to and in a manufacturing/lab setting. Exposure to moderate levels of noise in a well-lit, well-ventilated, and moderately paced environment. This position requires manual/finger dexterity as necessary to perform daily job duties. Occasionally required to stand and/or walk for extended periods of time. Occasionally required to sit for extended periods of time. Occasionally required to reach with hands and arms; lift, push, pull and/or carry objects up to 20 pounds.
