Production Associates support Project Managers by helping ensure cost, schedule, document control, safety standards, and quality standards are met. Production Associates support the Project Managers by maintaining compliance with Neil Kelly Company established standards for paperwork and processes. The Production Associate’s work should be job-costed except with the approval of their supervisor. This role will charge an average of no more than 20% of their time to overhead.
Essential functions:Â
- Assists the Project Manager in preparation of Project Turn-Folder Documents such as:
- Notice to Proceed
- Additional Work Authorizations
- Job Completion
- Creates and maintains Microsoft Teams channels for each Project Team
- Assists in coordination of POM sheets for each project
- Orders materials, processes purchase orders for materials and trades, picks up and delivers small materials and manages P.O. log of materials received at the warehouse
- Assists the PM with project scheduling—including trade schedule confirmation the week prior to scheduled work.
- Coordinates with the Project Manager to procure building permits and facilitate building permit inspections
- Collaborates with Project Manager to ensure weekly client communications is happening via Salesforce
- Creates on-site “red books” (project information books) for field personnel
- Prepares and coordinates submission of trade-contractor packages.
- Assists the Project Manager with project meeting agendas, coordination of meeting times and places.
- Assists the Project Manager with service work in the year following project finalization.
- Supports the Project Manager in the Neil Kelly Company warranty program by responding to client concerns and scheduling service work, within the guidelines of the program.
- Maintains and updates available labor list, lead times for permits and trade-contractors availability schedule
- Coordinates work with other Project Managers, as appropriate
- Monitors job progress by either actual site visits or consulting regularly with the clients and subcontractors
- Conducts safety checks and inspections
- Actively support Neil Kelly’s marketing initiatives by creating project and client-related content (photos, videos, and insights) and collaborating with the Marketing team to share content that highlights our work, expertise, company culture, and strengthens brand visibility, trust, and market presence.

Work environment: This position operates in a combination of office and field environments. The Project Associate primarily performs administrative and coordination tasks in an office setting, which includes working on a computer, participating in meetings, and communicating with team members, clients, and trade partners. The role also includes regular visits to active residential construction job sites. While on job sites, the Project Associate may be exposed to varying weather conditions, uneven terrain, construction noise, dust, and typical construction materials and equipment. Adherence to company safety policies and general job site awareness is required at all times.
Physical demands: This position requires the ability to perform work in both office and job site settings. In the office, physical demands include extended periods of sitting, working at a computer, and using standard office equipment. On job sites, physical activities may include standing, walking, bending, reaching, and navigating uneven surfaces such as concrete, dirt, or unfinished flooring. The Project Associate may occasionally assist with light physical tasks, such as carrying or moving small materials or equipment, up to 25 pounds unassisted.
Position type and expected hours of work: This position has a Monday through Friday, 40-hour work week. General work hours are, 8:00am -5:00pm unless another schedule is established. Work hours will be an 8-hour workday with either a 30-minute or a 60-minute unpaid lunch break and two 15-minute paid breaks (morning and afternoon). There may be occasional evening, weekend, and/or overtime work.
Travel: This position requires regular and frequent travel to job sites, to retailers/vendors, and to the office. Employees in this position are required to provide their own vehicle to use for work-related purposes, and are eligible for a mileage reimbursement per company policy.
Required education and experience: No specific degree or certification required, however, must have education and/or experience related to Project Associate duties. Associates degree in Construction Management, or related field, and/or prior experience in construction, architectural design, cost estimating, construction specification writing and procurement of building permits preferred.

The ability to work as a member of a team is a requirement for this position. Each company employee is assigned to a workgroup team, which meets at least once a month to discuss company business. This position will be expected to be a full participant on his/her team.
Rate of Pay: This is a full time, non-exempt position scheduled to be 40 hours per week. Â The hourly rate of pay will depend on experience, but the rate is $29-$34/hour.
