Responsibilities

Harbor Point Behavioral Health Center offers intensive residential treatment services within a secure setting.  Our programs are designed to meet the needs of youth ages 7- 17 who are experiencing emotional, psychiatric and educational difficulties.  In addition to our general psychiatric programs, we also offer specialty programs for youth with more serious challenges.  Harbor Point and its programs are fully accredited by The Joint Commission and the Virginia Association of Independent Specialized Educational Facilities. We are licensed by The Virginia Department of Behavioral Health and Developmental Services and the Virginia Department of Education. We are a TRICARE®-approved and certified facility.

 

Position Scope:

Responsible for ensuring the content of clinical notes pertaining to patient care, treatment and services is in compliance with all licensing, DMAS and Joint Commission regulations.

Essential Functions:      

  • Maintain Tracking Board, review notes for compliance, send out audit findings, conduct follow up, correction verification. 
  • Maintain Tracking Board, analyze data by creating pivot tables from EHR exports, send out audit findings, conduct follow up, correction verification.
  • Audit of key initial assessments and reports, documenting findings on VA Medicaid Audit Tool, communicating findings and maintaining tool. 
  • Target audits based on the identified need. 
  • Summarize findings and supply data for weekly and monthly QAPI reports. 
  • Resource Liaison during site visits/surveys. 
  • Collect weekly billing reports from clinical staff, follow up on late reports, maintain Tracking Board. 
  • Export billing reports and audit clinical notes, request and follow up on corrections.  
  • Submit billing reports to Business Office weekly. 
  • Weekly ISP audit - update ISP Tracking Board and send out notifications.
  • Medication Management Note insert support as needed, working with medical staff on clarifications. 
  • Follow up with staff from other departments on ISP deficiencies identified during final reviews.

Must be detail-oriented and possess superior documentation skills; have an understanding of DMAS regulations as they relate to Psychiatric Residential Services, as well as CMS and Joint Commission regulations.

Qualifications

Education:

Bachelor’s degree in Human Services field preferred; minimum of a High School Diploma or GED.

 

Experience:

  • Must have 1 - 3 years of experience in acute inpatient or residential psychiatric setting as a treatment team member.
  • Must have at least one year of experience in medical records, coding/billing, or documentation oversight role.
