About Us:

We are a well-established precast concrete products manufacturer seeking a dependable, detail-oriented Bookkeeper to join our team. This position will manage day-to-day financial operations while also providing support with payroll, HR, and general administrative functions that help keep our growing company running smoothly.

Position Overview:

The ideal candidate has experience with general bookkeeping and is comfortable working across multiple areas of a business. QuickBooks Online experience is required for this position.

In addition to bookkeeping responsibilities, this role will support HR and payroll functions, including employee data management, benefits and payroll coordination, and other general HR administrative duties as needed. The ideal candidate is organized, trustworthy, able to handle confidential information, and willing to jump in where needed. 

This is a full-time, on-site position offering a supportive, team-oriented work environment and opportunities for professional growth.

Key Responsibilities:

Daily & Monthly Accounting

Accounts Payable (A/P)

  • Verify invoices against purchase orders and receiving tickets
  • Track and utilize early-payment discounts when applicable
  • Manage vendor credit terms and schedule payments to support healthy cash flow
  • Reconcile vendor statements and resolve discrepancies
  • Track sales tax paid to vendors and provide resale certificates when applicable
  • Maintain accurate vendor records and documentation

Accounts Receivable (A/R)

  • Prepare and send customer invoices
  • Track customer prepaid accounts when applicable
  • Apply and record customer payments
  • Follow up on past-due accounts and assist with collections
  • Reconcile A/R aging reports
  • Track and manage sales tax collected across multiple states
  • Maintain accurate customer account records

General Bookkeeping

  • Reconcile receipts, purchases, and expenses
  • Maintain accurate transaction records within QuickBooks Online and our POS System (Light Speed)
  • Assist with maintaining an organized and accurate general ledger

Financial Reporting & Analysis

  • Prepare monthly financial statements, including balance sheets and income statements
  • Reconcile bank accounts and credit card statements
  • Maintain accurate and organized financial reports in QuickBooks Online
  • Assist management with financial reporting and information as needed
  • Identify discrepancies and work with management to resolve accounting issues

Tax Support

  • Support preparation for quarterly and year-end financial and payroll reporting
  • Assist with gathering documentation needed for tax preparation and reporting
  • Coordinate with external accountants and other professionals as needed
  • Ensure appropriate resale certificates for both vendors and customers are maintained and current
  • Assist with multi-state sales tax documentation and reporting

Compliance & Record Management

  • Maintain well-organized financial, payroll, and employee documentation
  • Follow established internal controls and company procedures
  • Assist with maintaining monthly and annual multi-state licenses, filings, registrations, and industry compliance requirements
  • Maintain accurate records and ensure required documentation is readily available for audits, reporting, or management review
  • Handle sensitive financial and employee information with a high level of discretion and confidentiality

Qualifications

  • Minimum of 2 years of experience in A/R, A/P, general bookkeeping, payroll, HR support, or a related administrative role
  • QuickBooks Online experience required
  • Payroll and/or HR experience preferred
  • Excellent organizational skills and strong attention to detail
  • Ability to maintain confidentiality and appropriately handle sensitive information
  • Ability to manage multiple responsibilities, prioritize tasks, and meet deadlines
  • Strong written and verbal communication skills
  • Strong interpersonal skills and ability to work effectively with employees, vendors, customers, and management
  • Comfortable learning new software and administrative processes
  • Dependable, professional, and willing to assist in multiple areas of the business as needed
