Serving as the first point of contact for students, parents, faculty, and visitors, this individual helps create a welcoming and efficient office environment while supporting the Head of Lower School and other administrators in the daily operations of the division. Responsibilities include managing calendars and communications, supporting office operations, coordinating mailings, scheduling substitutes, tracking faculty leave, maintaining attendance and student records, and assisting with field trips, parent conferences, and other Lower School events. This full-time, 10-month position reports to the Head of Lower School and requires a highly organized, detail-oriented professional who can manage multiple priorities while supporting a responsive and student-centered school community. If you enjoy working in a dynamic school community and are passionate about supporting the education of young learners, we would love to hear from you!Duties & QualificationsEssential Functions General Office Support Creates a highly positive, welcoming, and professional first impression for each caller or visitor to the Lower School Provides complete and efficient service to students, visitors, guests by answering routine questions, and directing callers and visitors to the appropriate person for non-routine inquiries Maintain the Lower School community, faculty, and Head of Lower School's Google calendars Provide continuous office and phone coverage during regular business hours Provided administrative support to the Assistant Head of Lower School, as requested Handle all correspondence from the Lower School Prepare and send all Lower School mailings, including flyers and memos for parents or faculty for special events and activities Releases and places holds on report cards Reconcile credit card statements Manage substitute schedules, plans, and materials Sorts and distributes mail and office supplies, responds to regularly occurring requests for information, and assists with large-scale office mailings Assist Lower School Building Coordinator with the coordination of various Lower School events, by coordinating refreshments, arrange set-ups, prepare materials Record Keeping Accurately maintain Lower School attendance records throughout the day Keep student files for early dismissal notes, late arrivals, sign-out sheets, and notified absence forms Maintain Lower School files in accordance with the school’s document retention and destruction policy Provide various reports, including class lists, rosters, locker lists, class schedules, lunch table lists, etc. Student Services Coordinate field trip and off-campus student travel approval process, including ensuring all permission slips, lunch orders, medications, and other paperwork are in hand before trips Coordinate parent conferences, including scheduling and room assignments Coordinate back-to-school night and parent-teacher meetings Maintain Lower School, informational bulletin boards, and flyers Coordinates with the Bus Department for student arrivals and dismissals Coordinates with the Extended Day Program Faculty Services/Leave Support substitute teachers with arrival and technology needs Track all Lower School faculty leave and notify Human Resources of leave usage each pay period Coordinate leave/substitute approvals Other Duties Other tasks as assigned by the Head of Lower School Qualities of an Administrative Assistant An appreciation and respect for lower school-aged students as learners and people, through challenging and joyful moments alike High degree of discretion and confidentiality, as necessary and appropriate Detail-oriented, with the capacity to effectively and efficiently manage numerous small and large tasks Enjoy working in a cooperative, team-oriented environment Good cheer, humor, and warmth, balanced by professionalism and sound judgment Ability to exchange accurate information professionally with parents, students, faculty, staff, and other professionals Education and Experience Required: High School diploma Proficiency with Google Suite, cloud computing, student information systems (Veracross), Canva, mail merging, and other productivity and media software Preferred: Bachelor’s degree or equivalent education and experience Prior experience working in a school setting Compensation and benefits are competitive, with an hourly rate of $28 - $33 Benefits include: Medical, dental, and vision insurance Employer-provided basic life insurance Employer-provided short-term and long-term disability 401(k) employer match and safe harbor contribution, up to 7% of annual compensation
