Overview

Hudson Valley Credit Union is currently recruiting for the position of Supervisor General Services. Primary Function: Supervise the day-to-day functions of the General Services operations. Responsible for ensuring efficient operation of mail room and procurement functions, badge and surveillance systems, record retention processes and Boardman Road reception functions.


Responsibilities

  • Supervise the daily functions and staff of General Services operations. Develop and maintain appropriate departmental policies and procedures.
  • Interview, hire, manage and develop operations staff. Set staff goals and monitor performance to goals. Conduct regular department and one-on-one meetings to communicate organizational and/or departmental changes, updates and process improvements as well as to collaborate with employees on their on-going development plans.
  • Oversee timely, cost-effective procurement and distribution of various business supplies, equipment and services, including but not limited to, office equipment, janitorial supplies, keys, etc. Adhere to established service level agreements and deadlines.
  • Oversee all mail room functions. Responsible for the efficient and timely delivery of mail and package services throughout the Credit Union via the US Postal Service, overnight delivery services and courier service.
  • Ensure the employee badge access program and protocol are followed. Conduct regular system audits and oversee 5-day lock-out process.
  • Ensure record retention processes and inventory are adequately indexed and secured. Conduct regular process audits.
  • Monitor and evaluate video surveillance systems. Ensure equipment is serviced and functioning. Conduct regular system audits.
  • Manage appropriate vendor relationships to ensure deadlines are met and quality of service is maintained and manage the recycling and shred programs. Provide vendor analysis to measure competitiveness and recommend changes or modifications, as necessary, for management review.
  • Manage and provide recommendations for departmental expenditures. Participate in annual budget development process.
  • Respond to service requests, including after hour calls (24/7) as they arise. Assist in response, and direct necessary support to emergency situations. Serve as Disaster Recovery backup. Assist with departmental and organizational initiatives, including new construction, building renovations and relocations.
  • Adhere to all Credit Union policies, procedures, and regulatory agency requirements. Participate in all required and recommended training and development including, but not limited to, Bank Secrecy Act training (BSA) and demonstrate attained knowledge. Participate on Credit Union teams, projects and strategic initiatives when the opportunity arises. Perform additional duties and special projects as assigned.

Qualifications

 

  • High School Diploma, General Education Development (GED) certificate, or state authorized high school equivalent certificate required
  • Valid driver’s license required
  • Minimum 1 Year Supervisory leadership or similar work experience experience required
  • Minimum 1 Year facilities operations/facilities management experience preferred
