Position Overview
VarcoMac is seeking a Fleet Assistant to provide administrative, operational, and logistical support to ensure the companyâs fleet runs safely, efficiently, and in full compliance with regulations. This role works closely with the Fleet Manager, drivers, vendors, and internal departments to keep vehicles maintained, records accurate, and daily operations flowing without interruption.
Key Responsibilities
- Maintain accurate records for registrations, inspections, insurance, fuel usage, mileage, and service historyÂ
- Assist with monitoring telematics data, driver behavior reports, and vehicle performance metricsÂ
- Communicate with drivers regarding assignments, maintenance needs, and compliance requirementsÂ
- Assist with onboarding new vehicles (tagging, documentation, system setup) and retiring old onesÂ
- Track inventory of fleet-related items such as keys, fuel cards, and GPS devicesÂ
- Support compliance efforts by ensuring documentation meets company and regulatory standardsÂ
- Provide administrative support including filing, data entry, scheduling, and correspondenceÂ
- Support the Fleet manager with monthly and quarterly vehicle reportsÂ
Desired Skills and Experience
- Required QualificationsÂ
- Experience in fleet operations, logistics, transportation, or administrative supportÂ
- Strong organizational and multitasking skillsÂ
- Ability to communicate clearly with drivers, vendors, and supervisorsÂ
- Basic understanding of vehicle maintenance and fleet processesÂ
- Proficiency with spreadsheets, fleet management software, or tracking toolsÂ
- Preferred QualificationsÂ
- Experience with fleet management systems (e.g., Geotab, Enterprise Fleet)Â
- Knowledge of DOT or local transportation regulationsÂ
- Willing to train the right candidateÂ

- Salary Range: $25-$30 per hour
