Position Overview
VarcoMac is seeking a Fleet Assistant to provide administrative, operational, and logistical support to ensure the company’s fleet runs safely, efficiently, and in full compliance with regulations. This role works closely with the Fleet Manager, drivers, vendors, and internal departments to keep vehicles maintained, records accurate, and daily operations flowing without interruption.

Key Responsibilities

  • Maintain accurate records for registrations, inspections, insurance, fuel usage, mileage, and service history 
  • Assist with monitoring telematics data, driver behavior reports, and vehicle performance metrics 
  • Communicate with drivers regarding assignments, maintenance needs, and compliance requirements 
  • Assist with onboarding new vehicles (tagging, documentation, system setup) and retiring old ones 
  • Track inventory of fleet-related items such as keys, fuel cards, and GPS devices 
  • Support compliance efforts by ensuring documentation meets company and regulatory standards 
  • Provide administrative support including filing, data entry, scheduling, and correspondence 
  • Support the Fleet manager with monthly and quarterly vehicle reports 

Desired Skills and Experience

  • Required Qualifications 
    • Experience in fleet operations, logistics, transportation, or administrative support 
    • Strong organizational and multitasking skills 
    • Ability to communicate clearly with drivers, vendors, and supervisors 
    • Basic understanding of vehicle maintenance and fleet processes 
    • Proficiency with spreadsheets, fleet management software, or tracking tools 
  • Preferred Qualifications 
    • Experience with fleet management systems (e.g., Geotab, Enterprise Fleet) 
    • Knowledge of DOT or local transportation regulations 
    • Willing to train the right candidate
