Job DetailsJob Location: Caldwell Medical Center - PRINCETON, KY 42445JOB TITLE:           Central Scheduler DEPARTMENT:  Admissions REPORTS TO:     Admissions Supervisor SUPERVISES:      None POSITION SUMMARY: Is accountable for the delivery of consistently high quality effective and efficient entry of information into the computer system. Functions under the supervision of Admissions Supervisor. Is accountable for the effective and efficient operations of the Business Office ensuring that the objectives of the Business Department and the organization are being met. Ensures appropriate organizational practices are in use. Promotes good public relations through contacts with patients, practitioners, visitors, employees, peers and the public at large. Maintains confidentiality of patient information adheres to HIPPA policy. POSITION RESPONSIBILITIES ESSENTIAL FUNCTIONS: Visit creation for Pre-Registration of scheduled patients. Responsible for scheduling all outpatient procedures with physician offices, clinics and patients. Excellent customer service skills needed to interact with physicians, physician office staff and patient. Ensures the accuracy of orders, makes certain the diagnosis meets medical necessity. Verifies the test is pre-certed if applicable and directs the orders to the appropriate station. Responsible for scheduling of appointments for Radiology, Surgery and Polysomnography. The appointment times should be coordinated to best meet the needs of the patient and ordering physician. Works with each individual department and other health care facilities to initially set up the appointment process and to maintain the process is as streamlined as possible. Responsible for order verification as dictated by hospital policy, checking the accuracy of radiology, surgery, sleep lab orders and all outpatient orders that come through central schedule fax number. Assists the physicians and their staff with scheduling patients for procedures, giving appropriate preps and ensures time scheduled for procedure is adequate. Enters changes to scheduled procedures called in from physician offices or patient into scheduling system. Always documents reasons for changing appointments and their status. Notifies the department if a cancellation is on the day of the test. Ability to handle faxed orders, check for accuracy, forward/print them to appropriate fax/station. Ability to assume responsibility and exercise authority with M.D., clinic and administrative staff. Work in conjunction with the IT Department to help maintain the centralized scheduling module. Assist with set-up of new procedures and times as the Central Scheduler position expands.  Assists in maintaining established departmental policies, procedures and objectives. Assists in maintaining adequate and effective communication between the Business Office and ancillary departments for the purpose of problem. Interacts with others (on the phone or in person) in a positive, professional and appropriate manner. Works cooperatively with others.  Has respect for and an understanding of the contributions of all team members. Protects patient confidentiality by promoting appropriate staff communication practices.    Performs other duties as assigned.  QualificationsMINIMUM EDUCATION High School Graduate or GED. MINIMUM EXPERIENCE At least two years in a physician’s office setting. PREFERRED EXPERIENCE Associate Degree, data management, two-year’s experience in a physician office setting with scheduling responsibilities or in a health care environment with admitting background.
