Job DetailsJob Location: Thurbers Ave - Providence, RI 02905Position Type: Full TimeEducation Level: High SchoolSalary Range: $23.75 - $29.53 HourlyTravel Percentage: Up to 25%Job Shift: DayESSENTIAL FUNCTIONS:Â The Family Coaching & Visitation Program Coordinator plays a crucial role in overseeing the efficient operation of the Family Coaching & Visitation (FCV) program. This position involves managing data, coordinating program schedule, ensuring timely reporting, and overseeing the overall workflow of family coaching visitation initiatives. The Program Coordinator will work closely with all FCV staff, maintain datasets, and generate reports to support the successful implementation of the programs. Â SPECIFIC DUTIES/RESPONSIBILITIES: Â Maintain schedules, datasets, and generate reports related to program operations. Prepare and submit monthly billing files for FCV and other programs as needed. Streamline program workflow and assist the program leadership team assure time efficiency and cost-effectiveness management. Administrative Support: Serve as an in-office point person to facilitate communication among staff and clients. Coordinate and maintain financial aspects for the programs, including program billing, authorizations, and departmental purchases, in collaboration with the finance department. Produce timely and high-quality correspondence, reports, and documents required by the department. Â Reporting and Data Management: Compile and submit FCV, and other programs as needed, weekly census files to DCYF. Generate quarterly reports outlining key program metrics and outcomes. Track and monitor caseloads of case managers, ensuring accurate and up-to-date information. Participate in relevant trainings and complete data entry as needed. Â Logistics Coordination and Case Flow Oversight: Coordinate FCV client visitation schedule in Credible and serve as the in-office point person all scheduling related matters. Coordinate transportation services for clients participating in the programs. Ensure seamless logistics of visits for FCV. Monitor and facilitate the workflow of family coaching visitation programs to ensure compliance with established guidelines and protocols. Â Reporting and Analysis: Communicate and report with program director, department director, and Home Division VP about program operation and performance. Generate comprehensive monthly program reports, highlighting key achievements, challenges, and recommendations. Conduct analysis of program data to identify trends, patterns, and areas for improvement. Performs additional responsibilities consistent with Agency needs, defined in consultation with supervisor(s) and other duties as assigned. QUALIFICATIONS: Relevant administrative experience preferred. Excellent organizational, computer skills and customer skills required. Demonstrated ability to organize self and others; to work independently and to take initiative; to prioritize and to proceed logically. Ability to maintain confidentiality. Ability to assist with evaluations, surveys and general program data collection. Ability to organize large meetings/functions as well as educate the general public regarding Family Service policies and services. Data entry skills required. Qualifications
