We are seeking an experiencedLegal Administrative Specialist to support the U.S. Attorney’s Office for the District of Rhode Island (USAO RI) in Providence, Rhode Island.

In this role, you will support the witness management process before, during, and after grand jury proceedings and trials, including witness appearances, travel, lodging, reimbursement, and coordination with USAO personnel and other agencies.

RESPONSIBILITIES
Witness Support
  • Work directly with witnesses before, during, and after grand jury proceedings and trials
  • Coordinate witness appearances for court, pretrial conferences, and grand jury proceedings
  • Provide appearance details, travel documents, instructions, and reimbursement information
  • Meet witnesses upon arrival, provide courtroom orientation, and accompany them to court as needed
  • Identify special circumstances or witness needs requiring review by an Assistant United States Attorney
  • Respond to witness questions regarding appearances, travel, lodging, and reimbursement
Travel and Reimbursement
  • Arrange witness travel and lodging in accordance with DOJ and USAO procedures
  • Prepare special travel authorization documents and obtain approval before making arrangements
  • Collect required documentation and signatures for witness reimbursement
  • Prepare and submit witness vouchers and related reimbursement documentation
  • Provide timely information on pending and completed vouchers to the payment center
  • Maintain required documentation and reconcile Government Travel Accounts
Administrative Support
  • Receive visitors and field witness calls, questions, and other inquiries
  • Prepare recurring documents in accordance with required styles and formats
  • Compose routine letters using legal procedures and fact-witness terminology
  • Track hearings, trial dates, grand jury proceedings, and scheduling conferences
  • Maintain calendars or databases of active and pending witness appearances when requested
  • Perform related administrative and logistical duties supporting witness management
Records Management
  • Establish and maintain witness files, documents, databases, and tracking records
  • Assemble documents and information required for witness files and retention
  • Maintain witness records in accordance with DOJ regulations and established procedures
  • Protect confidential witness and case information
  • Gather required documentation for travel, reimbursement, and witness files
Coordination
  • Confer with Assistant United States Attorneys about witness appearances and special circumstances
  • Coordinate with the Court, Probation, Pretrial Services, and the U.S. Marshals Service
  • Coordinate with investigative agencies and other Government counterparts as needed
  • Gather information needed to support witness appearances, travel, and reimbursements
  • Escalate special authorizations, unusual circumstances, and scheduling issues as appropriate

REQUIRED BACKGROUND
  • Excellent written and oral communication skills
  • Thorough knowledge of legal research tools
  • Demonstrated ability to review legal and non-legal documents, including motions and briefs
  • Ability to manage multiple priorities and consistently produce accurate work
  • Ability to meet established deadlines and work effectively as part of a team
  • Ability to interact with staff and witnesses in a professional, courteous, and tactful manner

EDUCATION
  • High school diploma required
  • Working knowledge of legal procedures and specialized fact-witness terminology

LOCATION
  • One Financial Plaza, 17th Floor, Providence, RI 02903

TRAVEL
  • Local and other pre-approved travel may be required

WORK HOURS
  • Core hours are 9:00 AM-5:00 PM, Monday-Friday, 40 hours per week

WORK ARRANGEMENT
  • Work is performed primarily onsite at the USAO District of Rhode Island

SECURITY
  • Must pass a National Agency Check with Inquiries (NACI) or receive an approved waiver before starting

CLIENT
  • U.S. Attorney’s Office, District of Rhode Island (USAO RI), Department of Justice (DOJ)

Other Considerations. Applicants will be subject to a background investigation. Individual’s primary workstation is located in an office area. The noise level in this environment is low to moderate. Regularly required to sit for extended periods up to 100% of the time; frequently required to move about to access file cabinets and use office equipment such as PC, copier, fax, telephone, cell phone, etc. Occasionally required to reach overhead, bend, and lift objects of up to 10 lbs. Specific vision abilities required by this job include the use of computer monitor screens up to 100% of the time.
