We’re seeking a highly organized and service-oriented Admissions Operations Coordinator to support the daily operations of our medical school admissions process. This role plays a vital part in ensuring a seamless experience for applicants—from their first inquiry to enrollment—by managing applicant data, coordinating key admissions milestones, and providing top-notch communication and support!
Key Responsibilities:Â
Serve as a primary point of contact for prospective students—responding to inquiries with professionalism and careÂ
Maintain calendars, meetings, and communications for the Admissions teamÂ
Track application progress, review documentation, and ensure compliance with admissions requirementsÂ
Coordinate interview logistics including scheduling, communications, and materialsÂ
Manage data entry and accuracy across admissions systemsÂ
Monitor enrollment documents, prerequisite completion, and onboarding stepsÂ
Assist in planning and executing admissions events (virtual and in-person)Â
Support application scoring workflows and track important deadlinesÂ
Collaborate with internal teams and stakeholders to ensure efficient processesÂ
Contribute to ongoing cycle planning, reporting, and process improvementsÂ
QUALIFICATIONS
Education and Certification Requirements:
- Bachelor’s degree or equivalent work experienceÂ
Strong organizational skills and attention to detailÂ
Excellent communication and interpersonal abilitiesÂ
Customer service experience and professional demeanorÂ
Proficiency in Microsoft Office and/or Google WorkspaceÂ
Ability to manage sensitive information with discretionÂ
Experience with data systems and tracking toolsÂ
Comfortable working both independently and collaborativelyÂ
Preferred:Â
Previous experience in higher or medical education admissionsÂ
Event planning or coordination experienceÂ
Familiarity with CRM systems, Box, Smartsheet, or CanvaÂ
Physical & Scheduling Requirements:Â
Able to lift up to 25 lbs. for event setup/teardown
Availability for occasional evening or weekend events
Ability to sit for extended periods and work at a computerÂ
On-site support during events requiring walking and standingÂ

Salary & Benefits:Â
Competitive salary range of $45,000 - $50,000/per year commensurate with experience and education
