Position Summary

VeroTouch is looking for an Executive Assistant to support the executive team and take administrative and operational work permanently off their plates. This is a high-trust role with direct exposure to confidential company, financial, and personnel information, and it is expected to extend beyond classic executive support into hands-on administrative operations across the whole business, spanning scheduling and meeting coordination, vendor and procurement intake, document and knowledge management, HR administrative support, and light bookkeeping data entry, across VeroTouch's operations.

This is a company-wide support role reporting to the leadership team. Success looks like fewer administrative tasks landing on leadership's desk, cleaner and more consistent files and records, and repetitive work getting systematized or automated instead of repeated by hand every time.

This role is built for someone who does not just complete administrative tasks, but who notices when a task is repetitive and fixes that. VeroTouch runs on modern tools, including AI systems, and this person is expected to actively use them to automate scheduling, document creation, data entry, and reporting wherever possible, not just complete these tasks manually. The ideal candidate is process-oriented and efficiency-driven, with an interest in automating manual workflows and the adaptability to learn and implement new systems.

Essential Duties and Responsibilities

The essential functions include, but are not limited to, the following:

Executive and Meeting Support

• Manage calendars, scheduling, and meeting logistics for the executive team

• Prepare agendas, take notes, and track follow-up items for recurring meetings

• Coordinate travel arrangements and logistics as needed

Vendor, Procurement, and Financial Support

• Manage procurement intake requests and route them to the right approver

• Support accounts payable and accounts receivable processes, including invoice tracking and vendor follow-up

• Assist with expense tracking and reconciliation across entities

Document and Knowledge Management

• Organize and maintain company files, folders, and records across departments

• Draft, format, and maintain SOPs and internal documentation

• Support upkeep of internal knowledge resources, including SOP and handbook content used by company systems

HR Administrative Support

• Coordinate onboarding logistics for new hires, including paperwork and account setup

• Support initial candidate screening and interview scheduling

• Assist with offer letter preparation and tracking through the hiring process

Bookkeeping and Communication Support

• Perform data entry and support statement reconciliation in QuickBooks Online

• Triage and organize incoming email and communications for leadership, flagging what needs attention

Process and Automation

• Identify recurring administrative bottlenecks and redesign them into faster, repeatable workflows

• Use AI tools to automate scheduling, document drafting, data entry, and routine reporting

• Document new processes as SOPs so improvements stick and can be handed off or scaled

• Proactively flag manual, repetitive work to leadership with a proposed automation or process fix, rather than just doing it faster

Qualifications

Education

Extensive experience, a proven work ethic, and a strong commitment to continuous learning—attributes that deliver results beyond traditional education (required). A bachelor's degree is a plus but not required.

Required Experience

• 2+ years of experience in an administrative, executive assistant, operations support role, or equivalent experience demonstrating strong organizational and execution skills

• A demonstrated interest in process and efficiency: someone who has redesigned a workflow, built a template, or automated a task before, and can point to a specific example

• Fluency with AI tools such as Claude or ChatGPT, used to automate work

• Strong proficiency with Microsoft 365 (Outlook, Word, Excel, Teams, SharePoint) or equivalent tools

• Excellent written communication and ability to draft clean, professional documents

• Proven ability to juggle multiple workstreams and shifting priorities without dropping details

• Strong discretion and judgment when handling confidential company and personnel information

Preferred Experience

• Experience building lightweight automations or AI-assisted workflows (e.g., Claude, Zapier, Make, scripts, or similar)

• Experience with QuickBooks Online or similar accounting/bookkeeping software

• Experience at an early-stage or startup company, comfortable with ambiguity and evolving processes

• Experience building or maintaining SOPs, process documentation, or internal systems

• Familiarity with Buildertrend or similar project management software
