Position Summary

The Order Coordinator serves as the primary link between the Sales, Design, Vendor, Warehouse, and Field Operations teams to ensure customer orders are processed accurately and delivered on schedule. This role manages the order lifecycle from receipt of sales documentation through procurement, vendor coordination, order tracking, and final delivery support.

Key Responsibilities

Order Processing & Administration

  • Receive and review order packs from Sales and Design teams for completeness and accuracy.
  • Enter customer orders into the ERP system and maintain accurate order records.
  • Verify pricing, product specifications, lead times, and project requirements.
  • Create and submit purchase orders to vendors in accordance with project schedules and customer requirements.

Vendor Coordination

  • Place orders with vendors and monitor progress through fulfillment.
  • Obtain and distribute order acknowledgements, confirmations, and lead-time updates.
  • Serve as the primary liaison between internal sales teams and external vendors.
  • Resolve order discrepancies, shipment delays, and product availability issues.

Project & Delivery Coordination

  • Coordinate delivery schedules with warehouse personnel and field operations project managers.
  • Track vendor shipments and ensure materials arrive in accordance with project timelines.
  • Communicate delivery updates, backorders, and schedule changes to relevant stakeholders.
  • Assist in expediting critical orders to support project deadlines.

Communication & Customer Support

  • Maintain regular communication with Sales, Design, Procurement, Vendors, Warehouse Staff, and Project Managers.
  • Provide timely updates on order status, shipment tracking, and delivery schedules.
  • Support issue resolution related to orders, deliveries, and vendor performance.
  • Ensure all stakeholders are informed of changes that may impact project execution.

Continuous Improvement

  • Maintain organized electronic and physical order documentation.
  • Monitor order workflow and identify opportunities to improve efficiency and accuracy.
  • Support inventory and procurement reporting as needed.

Qualifications

  • Associate's degree or equivalent work experience preferred.
  • 2+ years of experience in order management, purchasing, project coordination, customer service, or supply chain operations.
  • Experience working with ERP systems and Microsoft Office applications.
  • Strong organizational and multitasking abilities in a fast-paced environment.
  • Excellent communication and relationship-building skills.
  • Ability to manage multiple projects and competing deadlines simultaneously.
  • High attention to detail and commitment to accuracy.

Preferred Skills

  • Experience in the Cabinet/Kitchen & Bath Industry
  • Knowledge and experience with BisTrack software.
  • Experience coordinating vendor relationships and purchase orders.
  • Knowledge of logistics, warehousing, and project-based order fulfillment.
  • Familiarity with construction, manufacturing, architectural products, or related industries.
  • Strong problem-solving and follow-up skills.

Working Conditions
Open office environment. Mainly sitting at the desk but does require standing frequently to make copies or file important documents.


Physical requirements
Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Jobs are sedentary if walking and standing are required only occasionally, and all other sedentary criteria are met.
