Overview

The Procurement Manager is responsible for overseeing the procurement operations, vendor management, procurement system management, and facilities management for a Dental Service Organization (DSO) with 100 practices. This role ensures cost-effective sourcing, efficient supply chain processes, and optimal facility operations to support clinical and administrative functions across the organization.

Key Responsibilities

Vendor Management

  • Identify, evaluate, and select vendors for dental supplies, equipment, and services, ensuring alignment with quality and cost requirements.
  • Build and maintain strong relationships with key suppliers to ensure reliable delivery and quality standards.
  • Monitor vendor scorecard, addressing issues related to delivery, quality, or compliance, and implementing corrective actions as needed.
  • Conduct regular vendor reviews and audits to ensure adherence to contracts and organizational standards.

Procurement System Management

  • Oversee the implementation, maintenance, and optimization of procurement systems to streamline purchasing processes across all practices.
  • Ensure accurate data entry, inventory tracking, and reporting within the procurement system to support decision-making.
  • Train practice managers and staff on procurement system usage, ensuring consistency and compliance with organizational policies.
  • Analyze procurement data to identify cost-saving opportunities, standardize purchasing, and improve operational efficiency.

Facilities Management

  • Oversee the maintenance and operational efficiency of facilities across all dental practices, ensuring safe and functional environments for staff and patients.
  • Coordinate with facility vendors for repairs, maintenance, and upgrades, ensuring compliance with health and safety regulations.
  • Implement preventive maintenance programs to minimize downtime and extend the lifespan of facility assets.

Additional Responsibilities

  • Develop and implement procurement policies and procedures to standardize processes across all practices.
  • Collaborate with practice managers and clinical staff to understand supply and equipment needs, ensuring alignment with organizational goals.
  • Monitor market trends and industry developments to identify opportunities for cost savings and process improvements.
  • Prepare and present reports on procurement and facilities performance to senior leadership.

Qualifications

  • Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
  • 5+ years of experience in procurement, vendor management, or supply chain management, preferably in healthcare or dental services.
  • Proven experience managing procurement systems
  • Strong knowledge of facilities management, including maintenance and regulatory compliance.
  • Excellent negotiation, communication, and relationship-building skills.
  • Ability to manage multiple priorities and work effectively in a fast-paced, multi-site environment.
  • Proficiency in Microsoft Office Suite and procurement software; familiarity with dental-specific systems is a plus.
  • Knowledge of dental supplies, equipment, and industry standards is highly desirable.
