The ideal candidate is a problem-solver with exceptional critical thinking skills who can navigate non-standardized billing requirements to ensure compliance with client-specific guidelines and attorney preferences. Success requires the resilience to execute under current practices while we thoughtfully plan for modernizing billing practices and introducing new technologies. Success in this role requires strong communication abilities, relationship building, and the ability to work both independently and collaboratively to meet established deadlines.Â
Primary Responsibilities:
- Execute full life-cycle billing activities for conventional and electronic billing clients within established service level agreements (e.g., pre-bills, write-offs, discounts, time transfers, report requests, rate changes, originating attorney allocations, etc.).
- Configure and maintain electronic billing profiles across multiple e-bill vendors including new client/matter on-boarding, timekeeper/rate approvals, and client-specific billing guidelines.Â
- Create and modify LEDES format files for third-party platform integration and resolve technical issues through manual intervention when necessary.Â
- Handle complex billing arrangements, alternative fee structures, and special billing projects.
- Generate reports and conduct analysis to fulfill ad-hoc requests, determine appropriate billing corrections, and follow up on unbilled time and outstanding balances.Â
- Manage the intake process for new client and new client matters.
- Maintain client and matter information in the firm’s financial systems.
- Stay current on billing system updates and assist training others on system enhancements.
- Participate in or lead testing initiatives for financial system upgrades and enhancements.
- Monitor e-billing platforms to ensure timely processing of status changes with appropriate stakeholder notifications.
- Collaborate with team members and Administrative Assistants to resolve e-billing rejections, rate discrepancies, and other submission errors.
- Mentor and provide technical guidance to less experienced Billing Specialists and administrative staff, to include developing and maintaining current training and reference materials.
- Serve as an escalation point for complex billing inquiries and provide advisory support to billing attorneys and their administrative staff.
- Assist the Billing Manager with developing quality control processes to prevent common e-billing errors.
Qualifications:
- 4+ years of billing experience in a professional services environment with multiple fee arrangement types and complex billing requirements, preferably in a law firm with 50+ billing attorneys.
- 2+ years of hands-on experience with electronic billing platforms and vendor portals.
- Demonstrated proficiency with Elite 3E Cloud and eBillingHub or other leading legal industry billing systems.
- Experience with major legal e-billing platforms (CounselLink, Collaborati, LegalTracker, etc.)
- Experience providing technical guidance or mentoring to less experienced billing personnel.
- Strong analytical and critical thinking skills for independent problem resolution.
- Excellent written and verbal communication skills.
- Proven ability to manage multiple priorities in a high-volume environment.
- Capacity to maintain composure under deadline pressure.
- Commitment to maintaining strict confidentiality of client matters.
Education:
- Bachelor’s degree in accounting, business, or related discipline or equivalent related work experience
