About the Role: 

The Energy and Environment group is seeking an experienced and highly organized Project Controls and Operations Coordinator to join our Mount Laurel, NJ office. This dual function role is responsible for providing project controls and financial administration support across active project portfolios, while also serving as a key resource for coordination of day-to-day office operations. 

Job Responsibilities:

Project Controls Administration

  • Set up and maintain projects within corporate project control systems, including Unanet and BST 10, by entering project structure, billing terms, budgets, and phase/task coding with guidance from the technical project manager.
  • Coordinate the preparation and processing of client invoices including coordination with Project Managers, conducting quality assurance reviews of final invoices prior to issuance to ensure accuracy and completeness of billing information and issue final invoices in accordance with direction provided by the project manager. Issuance of some final invoices will require use of client purchasing platform portals such as Ariba, Oracle, etc. 
  • Support project managers in reviewing and reconciling subconsultant invoices, purchase orders, and change orders.
  • Assist with the preparation of monthly WIP (Work in Progress) and A/R (Accounts Receivable) reviews and reports for group leaders and project managers, supporting timely client follow-up and effective project management. 
  • Maintain organized project documentation including contracts, amendments, authorizations to proceed, and correspondence files.
  • Coordinate with the corporate accounting team to support Accounts Receivable (A/R) collection activities and follow-up efforts.

Office Operations & Administrative Support

  • Serve as the primary point of contact for day-to-day office and facilities operations, including vendor coordination, liaison with internal administrative teams across AKRF and building management, and oversight of office supplies, equipment, procurement activities, inventory, and related expense tracking.
  • Coordinate meeting room scheduling, catering, and logistics for internal and client-facing events.
  • Support onboarding of new employees, including workspace setup, building access, and local orientation.
  • Manage office equipment maintenance contracts, service requests, and IT coordination with firm-wide support teams.
  • Support special projects and firm-wide initiatives as directed by management.

Essential Requirements:

  • Associate’s or Bachelor’s degree in Business Administration, Accounting, Finance, or a related field is a plus.
  • 5+ years of experience in project controls, financial administration, or project accounting, preferably within an AEC firm.
  • Proficiency with project management systems; experience with Deltek Vantagepoint or a comparable platform (e.g., Deltek Vision, BST, or similar) strongly preferred.
  • Proficiency with clients purchasing platforms, such as Ariba and Oracle, to obtain client purchase order and submit invoices under issued purchase orders 
  • Strong working knowledge of project financial metrics and processes including budgeting, Work In Progress (WIP), Accounts Receivable (A/R) tracking, and financial support to technical project managers.
  • Experience supporting office operations, facilities coordination, or executive/administrative functions.
  • Advanced proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); experience with SharePoint and Teams a plus.
  • Exceptional attention to detail, organizational skills, and the ability to manage multiple competing priorities.
  • Strong written and verbal communication skills; professional demeanor with client-facing experience.
  • Ability to work independently and collaboratively in a hybrid work environment.

Compensation 

Compensation will range from $70k to $90k and commensurate with experience.
