Position Description

The Associate Coordinator, Travel and Meetings plays a vital role in supporting Applied Medical's Travel and Meetings Department by managing all administrative components of corporate travel coordination and meeting planning. This travel coordinator position combines meeting planning expertise with corporate travel management to ensure seamless business operations. The Associate Coordinator, Travel and Meetings serves as a key liaison for travel arrangements, event coordination, and meeting logistics while delivering exceptional customer service to internal stakeholders across the organization.

 

Key Responsibilities

  • Coordinate comprehensive corporate travel arrangements including flight bookings, hotel reservations, ground transportation, and itinerary management.
  • Support corporate meetings, conferences, and events from initial concept through completion, ensuring all logistical elements are seamlessly coordinated.
  • Support the team in the development of travel itineraries while ensuring compliance with company travel policies and budget requirements.
  • Provide exceptional customer service by anticipating traveler needs, resolving issues promptly, and delivering personalized support throughout the travel and meeting planning process.
  • Maintain accurate records and documentation for all travel expenses, meeting costs, and vendor agreements while supporting expense reporting and budget tracking.
  • Support emergency travel changes and last-minute meeting adjustments by providing flexible solutions and alternative arrangements.

Position Requirements

This position requires the following skills and attributes:

  • Bachelor's degree in business administration, travel and tourism, hospitality management, or related field
  • One to two years of experience in meeting planning, event coordination, or corporate event management
  • One to two years of experience in corporate travel coordination, travel planning, or business travel arrangements
  • Proficiency in Microsoft Office suite including Outlook for Email Management, Excel for data analysis, Word for documentation, and PowerPoint for presentations
  • Excellent written and verbal communication skills with confidence in communicating effectively with all levels of management and external vendors
  • Strong organizational abilities and exceptional attention to detail with capability to manage multiple projects simultaneously
  • Self-motivated work style with ability to work independently while collaborating effectively within team environments
  • Strong customer service orientation with ability to anticipate needs and deliver exceptional support to internal customers

Preferred

The following skills and attributes are preferred:

  • Knowledge of travel industry practices, booking systems, and airline policies
  • Experience with hospitality industry operations, hotel negotiations, and venue management
  • Familiarity with corporate expense management systems and travel booking platforms
  • Professional certifications in meeting planning or travel coordination
