Job Description – Administrative Assistant
Reports To: Office Manager

General Purpose
The Administrative Assistant is responsible for supporting purchasing and receiving functions for non-inventory items, along with performing general office duties. This role requires strong communication skills, attention to detail, and proficiency with computer systems to generate documents, track information, and maintain accurate records.

Key Responsibilities
- Manage purchasing of all non-inventory items for the Cobra Anchors facility
- Process and finalize all receptions of incoming non-inventory materials
- Ensure purchase orders, receipts, and invoices are accurately matched and documented
- Maintain organized and compliant filing systems
- Serve as backup to the receptionist as needed (answering phones, greeting visitors, creating labels)
- Operate office equipment including phones, copiers, and other communication tools
- Perform general clerical duties including filing, data entry, and document preparation
- Maintain inventory of office supplies and coordinate ordering
- Generate memos, reports, and internal communications

Education & Experience
- High School Diploma or equivalent required
- Prior administrative, purchasing, or office support experience preferred
- Proficiency in Microsoft Office (Excel, Word, Outlook) or similar systems
