Position Summary

The Executive Assistant to the President is a professional-level, exempt position providing high-level administrative support to the President of Albright College. This role serves as a trusted partner and key liaison, managing complex scheduling, correspondence, and communications while exercising discretion and independent judgment on matters of significance. The Executive Assistant ensures efficient operation of the President’s Office, supports strategic initiatives, and maintains confidential and sensitive information with the utmost professionalism.

Essential Duties and Responsibilities

Executive Support

  • Manage the President’s calendar, including meetings, travel, and special events, prioritizing commitments and ensuring alignment with institutional goals.
  • Draft, review, and coordinate correspondence, reports, and presentations on behalf of the President.
  • Prepare briefing materials, talking points, and agendas for internal and external meetings.
  • Handle confidential and sensitive information with discretion, including personnel matters, financial documents, and strategic initiatives.

Communication & Liaison

  • Serve as the primary point of contact for internal and external stakeholders, including faculty, staff, trustees, alumni, and community partners.
  • Facilitate communication between the President’s Office and other departments, ensuring timely responses and follow-up.
  • Represent the President professionally in meetings, events, and communications as needed.

Office Management & Administrative Support

  • Coordinate and manage special projects, initiatives, and events as assigned by the President.
  • Maintain filing systems, records, and documentation, ensuring accessibility, confidentiality, and compliance with institutional policies.
  • Oversee logistical arrangements for board meetings, executive committees, and other high-level gatherings.

Strategic Support

  • Assist with research, data gathering, and preparation of reports to support decision-making.
  • Monitor deadlines, action items, and institutional priorities to ensure timely completion of projects and initiatives.
  • Anticipate needs of the President’s office and proactively address potential issues.

Qualifications

Education & Experience

  • Bachelor’s degree in Business Administration, Communications, or related field preferred.
  • Minimum of 5 years of experience providing executive-level support, preferably in higher education or a complex organizational setting.

Knowledge, Skills, and Abilities

  • Exceptional organizational, time management, and prioritization skills.
  • Strong written and verbal communication skills, including professional correspondence and presentation preparation.
  • High-level proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools; experience with calendaring systems required.
  • Ability to exercise discretion, maintain confidentiality, and handle sensitive issues with professionalism.
  • Strong interpersonal skills, including the ability to interact effectively with diverse stakeholders and senior leadership.
  • Proactive problem-solving skills and ability to anticipate needs.
