POSITION SUMMARY:

Provides customer service and clerical support for the Register of Wills department. 

POSITION RESPONSIBILITIES:

Essential Functions

  • The duties and responsibilities of this position include, but are not necessarily limited to:
  • Probate estates - extensive probate knowledge, including probate petitions submitted by pro-se and attorneys; includes reviewing probate petitions and conducting TEAMS meetings. Daily review of the TEAMS calendar; confirm paperwork is received. This person must be knowledgeable of required forms and timelines and be able to precisely relay that information. More independent work: handling complex situations that may arise during probate.
  • Vast knowledge of the genealogy records kept on site, understanding how to research to complete requests by mail and email. Able to complete inquiries for colleagues and the public; relay correct information; process all requests, including but not limited to certified and non-certified copies of all documents, and correctly and efficiently fulfill requests.
  • ROW email. This person will be able to efficiently answer questions.
  • Notice/Status reports - correctly enter, scan, and file daily reports submitted through mail and over the counter. Monthly reports are required, checking data and completing the process independently.
  • Process genealogy inquiries via email and marriage license applications.
  • Provide backup for individuals on vacation, which could include marriage, orphans' court, and inheritance tax processing.
  • More knowledgeable on the phone and at the counter with the public, attorneys, and paralegals.
  • This position requires more   independent work; time management; good judgment; and the ability to multitask.

MINIMUM EDUCATION AND EXPERIENCE:

  • High school diploma or G.E.D. certification from a recognized issuing agency.
  • Four (4) years of related experience in an office setting.
  • Any equivalent combination of experience and training that provides the required knowledge, skills, and abilities.

MINIMUM KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of general office practices.
  • Ability to type accurately and quickly. 
  • Ability to operate office equipment including fax machines, copiers, adding machines, and printers.
  • Demonstrated proficiency in the use of Microsoft Word and Excel.
  • Skill in organization and time management.
  • Ability to work most of the time independently.
  • Ability to exercise good judgment.
  • Ability to provide a high level of customer service, both on the phone and in person.
  • Ability to handle stress.
  • Physical presence in the office is required.

PHYSICAL DEMANDS:

Work involves standing, walking, sitting, lifting, carrying, talking, hearing, using hands to handle or feel objects, tools, or controls, and reaching with hands and arms.  Vision abilities required by this job include close vision and the ability to adjust focus. The employee must occasionally lift and/or move up to 40 pounds a distance of 15 feet or less.
