Job Summary
The Executive Assistant to the Chief Technical Officer, will provide support through calendar and email management, travel logistics, and day-to-day operations. The Executive Assistant will work in close partnership with the Strategic Projects Lead.
Hours: Part Time, 25 hours per week
Job Requirements
- Calendar & Inbox Management: Own and manage the CTO's calendar, proactively resolving conflicts and prioritizing his time. Triage the email inbox daily, responding on his behalf where appropriate and flagging what needs his personal attention.
- Meeting & Day Preparation: Prepare the CTO for each day and key meeting, briefing materials, relevant background, and logistics.
- Manage daily organization and task follow-through so nothing falls through the cracks.
- Travel Coordination:
- Book flights and manage check-in for each leg of a trip.
- Maintain complete, accurate travel itineraries.
- Execute the logistics of ministry travel including the on-the-ground coordination that supports team trips.
- Ministry Communications
- Manage all inbound ministry communication and correspondence responding personally and warmly on CTO's behalf to those who write in.
- Maintain a timely, consistent and caring communication flow with people who reach out to CTO
- Support the backend of the CTO's personal ministry website, making updates as required.
- Administrative & Financial Operations
- Process timesheet and leave approvals for all staff Richard oversees.
- Track ministry budget and expenses; manage credit card and related reconciliation.
- Events support: Support staff facing gatherings with Strategic Projects Lead, managing catering needs, as required.
- Manage personal task lists and day-to-day administrative needs.
Minimum Qualifications
- High school diploma or equivalent required
- Strong attention to detail
- Proficient in all Google Workspace systems
- Self-starter with strong follow-through
- High level of professionalism, discretion, and confidentiality
- Excellent written and verbal communication
- High emotional intelligence, servant-hearted & Holy Spirit led
- Ability to be flexible manage multiple moving parts and deadlines
- Strong organizational, administrative, and problem-solving skills
- Ability to manage multiple tasks and competing priorities effectively
- Alignment with Bethel Church’s mission, values, and Statement of Faith
