Redfield Community Memorial Hospital and Clinic is seeking a qualified individual to join our team!

Position Highlights

JOB SUMMARY:

The Clinic Front Office Coordinator is responsible for:

  • Scheduling front office staff based on department needs and volumes.
  • Serving as a role model and resource for staff.
  • Maintaining a cooperative relationship with other organizational departments by communicating information, responding to requests, building rapport, and participating in problem-solving.
  • Preauthorization of diagnostic testing and referrals.
  • Registration of outpatients for same-day diagnostics and services.
  • Scanning and routing patient reports and correspondence.
  • Obtaining releases of information and routing medical records.
  • Assisting the Clinic Director in updating Policies and Procedures as applicable.
  • Participating in the implementation of annual Clinic goals.
  • When staffing needs arise, scheduling and registering of patients, answering phones and routing phone calls appropriately.
  • Other duties as assigned.

ESSENTIAL JOB FUNCTIONS:                    

  • Respects the dignity, confidentiality and privacy of patients.
  • Able to use appropriate judgment in scheduling patients when making appointments.
  • Demonstrates knowledge of emergency procedures in office.
  • Demonstrates courtesy and helpfulness toward patients and their families.
  • Messages taken accurately and appropriate messages forwarded consistently and timely.
  • Monitor patient waiting times to inform appropriate personnel.
  • Payments/collections taken and receipts given to patients.
  • Knowledge of insurance plans and procedures.  Obtain correct insurance information when applicable to scheduled appointment.
  • Assists in retrieving and filing charts in an accurately and timely fashion.
  • Self-paced, works quickly and efficiently in a fast-paced environment.

EQUIPMENT USED TO PERFORM JOB:

Must be familiar with and able to operate all equipment utilized in the department, including computers/keyboards, copy machines, fax machines, telephones, printers, etc.

POTENTIAL JOB STRESSORS:

Must be able to deal daily with professional, non-professional and medical staff.  These are times of intense activity, coupled with down times.  Must be able to deal with potential unpleasant job activities resulting from frequent interruptions and/or distractions, customer demands, constant ringing of phone.  Must be able to effectively prioritize tasks amidst these activities.

EDUCATION AND EXPERIENCE:

Requires high school education.  Advanced secretarial or clerical training desired.  Previous medical experience preferred.  Computer knowledge necessary and knowledge of medical terminology very helpful.

SKILLS, KNOWLEDGE, ABILITIES:

  • Possesses tactful verbal communication skills, and effective telephone etiquette.
  • Demonstrates ability to problem solve through critical thinking applications and works well under stress while maintaining positive attitude and composure.
  • Must have an ability to develop an excellent rapport with clients, customers, hospital staff and physicians, and physician office personnel.
  • Must be flexible in work hours and job demands.
  • Conveys enthusiasm and sincerity when promoting scheduling system.

ESSENTIAL PHYSICAL DEMANDS:

Dexterity necessary for keyboarding/typing, dialing, filing, holding, indexing, inserting, lifting, opening, sorting, stapling, turning and writing.  Full range of body motion and extensive walking with possibility of strains due to transporting patients. Good communication skills and hearing are necessary when dealing with patients, visitors, nurses, physicians, and other staff.  Job involves frequent, repetitive motions of the hands/wrists involved with computer entry.
