POSITION: Logistics Coordinator

JOB DESCRIPTION

Summary/Objective
The Logistics Coordinator is responsible for managing the order process with an assigned group of customers, ensuring that products are supplied on time and error free. The position plays a key role in the communication process with the customer, ensuring that all parties on the supply chain process are informed, from origin to the customer's receiving location. Responsibilities will include hands on problem solving with customers, carriers and other support personnel. In short, delivering a superior service experience to our customers from order receipt to final delivery will be critical to the position.

Essential Functions
  • Processing sales orders received from customers, processing orders for picking. Preparation of invoices, packing lists and shipping documents.
  • Coordinating and booking the logistics for outgoing customer shipments (FCL, LTL, FTL, LTL, local).
  • Preparing all shipping and hazmat documents (AWB, SLI, B/L, Cargo Details, Declarations, Dangerous Goods Forms) in compliance with company and regulatory requirements.
  • Preparing and making AES Electronic Export Information filings.
  • Tracking deliveries, proof of deliveries, proof of export and other logistical information.
  • Resolving all transportation issues promptly, including playing an active role in developing a solution to problems and/or discrepancies, communicating plans to customers, and following-up to ensure problems are resolved.
  • Handling, submitting and resolving cargo transportation claims with insurers, carriers and customers.
  • Providing administrative support to overall Customer Service Department.
  • Performing other tasks as assigned by Manager.

Supervisory Responsibility
This position has no direct supervisory responsibilities.

Work Environment
This position works in an office/warehouse setting, with some outdoor exposure during the workday. This role routinely uses standard office equipment such as computers, phones, and other office machines.

Position Type and Expected Hours of Work
This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m, with an hour for break.

Travel
Minimal travel is expected for this position.

Required Education and Experience
  1. 2-3 years of similar experience handling FCL & LCL shipments, bookings, AES filings.
  2. Strong technical skills: Microsoft Office, especially Excel.
  3. Experience with ERP and Logistics systems.
  4. Strong interpersonal and communication skills (verbal and written).
  5. Exceptional customer service orientation.
  6. Strong organizational skills with the ability to handle high volume and meet deadlines.
Fluency in Spanish would be an asset.

Preferred Education and Experience
  1. Bachelor's Degree in Business Administration.
  2. Knowledge of Hazardous Materials cargo, Hazardous Materials Certifications.
  3. Demonstrated leadership potential.

Work Authorization/Security Clearance
Legal eligibility to work in the United States.
