Responsibilities
Team Experience and Onsite Support
- Coordinate onboarding for new employees, vendors, and interns (e.g., equipment orders, workstation setup, distribution lists, security groups) and serve as primary contact for questions.
- Provide in-person assistance for team experience activities, workspace logistics, and supply management.
- Partner with managers and space planners to maintain accurate space assignments and utilization data, for space planning and move logistics as necessary.
- Track and process discretionary budgets and expense reports in compliance with Microsoft policy.
- Coordinate meeting logistics, including room bookings, virtual setup, and catering.
- Plan and execute team events, including itineraries, communications, and post-event follow-up.Â
Leader SupportÂ
- Provide strategic calendar and time planning support for org leader and align calendar to their preferences and style.Â
- Arrange travel as needed for org leader, ensuring compliance with policies and documentation requirements.Â
- Manage expenses and expense reports for org leader in compliance with Microsoft policy.Â
Business Operations SupportÂ
- Collaborate with the IC3 Business Management Office to drive organizational effectiveness.Â
- Support rhythm-of-business activities by scheduling and meeting logistics aligned with the team’s business cadence.
- Create purchase orders (POs) and track non-people spend to ensure accurate financial reporting and compliance with Microsoft policies.
- Support headcount reporting and onboarding/offboarding processes, including staff movement, transfers, and transactions in relevant tools (Employee Central, The Oracle, etc.).
- Partner with Global Talent Acquisition and hiring managers to ensure smooth recruitment and onboarding.Â
- Foster an inclusive team culture, contribute to team morale, and participate in the Business Support community.Â
Qualifications
Required Qualifications:
- 2+ years administrative, business support, and/or customer service experience.Â
- 3+ years administrative, business support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and basic administration work.
- Associate's/Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 1+ year(s) experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
Business Support ATR-C - The typical base pay range for this role across the U.S. is USD $25.82 - $45.05 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $36.73 - $52.55 per hour.
